Civcon Civil & Project Management is a Western Australian Civil Construction and Project Management company.  We pride ourselves in providing outstanding service to our clients, managing and delivering projects to   quality standards.

We require an Office Manager to ensure the smooth and efficient operation of the office by providing comprehensive administrative leadership, fostering a professional and positive work environment, and delivering exceptional service to both internal and external stakeholders. This role is pivotal in contributing to Civcon's effectiveness, upholding our professional standards, and supporting the company's strategic goals.

To be considered for this role all applicants will be required to meet the following criteria as a minimum.

  • Exceptional organizational and multitasking abilities.
  • Strong financial acumen and budget management skills.
  • Outstanding communication skills, both written and verbal, with the ability to interact effectively at all levels.
  • Proficient in office software (e.g., MS Office Suite, email platforms, potentially CRM systems).
  • Leadership qualities with a proactive and problem-solving mindset.
  • A deep understanding of professional service delivery and client relationship management.

Responsibilities

  • Oversee daily office operations, including supplies management, vendor relationships, and maintenance of office equipment and facilities.
  • Develop, implement, and improve office policies, procedures, and systems to enhance efficiency and productivity.
  • Manage office budgets, track expenditures, and process invoices
  • Serve as a primary point of contact for key clients and visitors, presenting a professional image consistent with Civcon's standards.
  • Respond to, assess, and follow up on client inquiries and needs, ensuring high-quality service and assistance.
  • Handle and resolve client concerns with tact and diplomacy, obtaining and evaluating all relevant information to provide effective solutions.
  • Proactively identify areas for improvement in client service delivery.
  • Provide administrative support to the leadership team and staff, including scheduling, meeting coordination
  • Ensure all office activities and communications align with company values and compliance standards

Experience and Qualifications

  • Proven experience (minimum 3 years) in an office management, administrative lead, or senior customer service role.
  • A formal qualification in Business Administration or a related field is preferred.
  • At least three years of relevant skill and experience may substitute for the formal qualifications listed above. In some instances, relevant experience and/or on-the-job training may be required in addition to the formal qualification.
