
Personal Assistant

We're looking for a proactive Personal Assistant who can keep a busy founder organised across multiple projects: IT services, education partnerships and events, NDIS support coordination administration, social impact initiatives, and day-to-day life admin.
You'll manage calendars, documents, suppliers, simple finance tasks, stakeholder follow-ups, travel, and on-the-ground logistics.

What you'll do (key responsibilities)
- Executive support: inbox triage, calendar control, meeting prep, note-taking, follow-ups, travel and route planning.
- Documents & compliance: draft emails and letters, prepare reports and forms, keep shared drives tidy, update trackers.
- NDIS admin support: organise referrals, chase quotes/invoices/statements, prepare report shells, log shift times and case notes, maintain simple spreadsheets (no clinical work).
- Vendors, freelancers & partnerships: connect with suppliers for our online shop (quotes, orders, stock, onboarding), organise and brief freelancers (web dev and IT services), manage simple SOWs and timelines, quality-check deliverables, pick up and triage inbound partnership calls, schedule meetings, and maintain a basic pipeline/CRM log.
- Research & projects: RTO planning, summarise options and next steps.
- On-the-ground logistics: occasional school runs/equipment drop-offs (with mileage reimbursed), event setup/pack-down.
- Personal admin: time-sensitive errands, bookings, reminders, and household coordination as needed.
You'll be great at

- Tech: Google Workspace, Microsoft 365, Trello, basic WordPress ,basic spreadsheets
Must-haves
- Australian work rights and current driver's licence; reliable car for metro travel.
- Comfortable working across Melbourne (Northern/Western suburbs)
- Willingness to obtain: NDIS Worker Screening, Police Check, and Working with Children Check (or already hold them).
- High discretion handling sensitive client information and school environments.
- Willingness to learn
- Reliable, with a strong work ethic and positive attitude
Nice-to-haves
- Experience in NDIS admin, education settings, or small-business operations.
- Basic IT familiarity (software, device setups, inventory, simple troubleshooting, Email, Word, Canva/PowerPoint and online systems).
- Event coordination and stakeholder liaison.
- Strong organisational and time management skills
- Excellent communication (both written and verbal)
- Self-motivated and able to work independently
- Ability to multitask
- Experience with Xero is a bonus but not essential
- Training will be provided
Hours & work pattern
- Hybrid: mix of remote admin and in-person tasks (Beveridge, schools, suppliers).
- Part-Time role starting at 2 days per week, with flexibility to increase hours as the company grows.
