We're working with a privately held property and construction group on the Sunshine Coast that's looking for a trusted Executive Assistant to support their Managing Director.

This is a rare opportunity to step into a pivotal role – providing both high-level executive support and assistance across business and personal responsibilities. The MD is hands-on, fast-moving, and deeply engaged in project delivery – which means you'll play a key role in creating structure, anticipating needs, and freeing up their time to focus where it matters most.

About the role:

This isn't your typical EA position. You'll be deeply embedded in the business – managing calendars, preparing reports and board packs, coordinating travel, and acting as a gatekeeper and sounding board. On the personal side, you'll assist with logistics, events, and travel, always with discretion and initiative.

Key responsibilities include:

  • Complex diary and inbox management across business and personal commitments
  • Preparing board materials, presentations, reports, and briefing packs
  • Coordinating meetings, taking minutes, and ensuring follow-up
  • Organising domestic and international travel (including contingencies)
  • Acting as liaison with clients, suppliers, and consultants
  • Managing household appointments, errands, and occasional event coordination

To be considered for this role, we need to see demonstrated experience in:

  • Several years experience as an EA, supporting at Executive/Director level in a corporate environment – ideally in construction, property, or fast-paced project environment

We will also need to see evidence of how you:

  • Are proactive, commercially aware, and calm under pressure
  • Communicate clearly and confidently with senior stakeholders
  • Enjoy being the trusted organiser who sees what's coming and sorts it out
  • Thrive in a flexible, part-time setup where you own your space
