Sales Administrator – Real Estate

We're on the lookout for an exceptional, experienced Sales Administrator to join our close-knit and high-performing team at Ray White Rochedale, Logan City, Sunnybank and Eight Mile Plains. This is a full-time role primarily based at our Rochedale Office, with occasional travel to our other locations. Evening and weekend work is required from time to time to support in-room and onsite Auctions.

The Role:

You'll be the backbone of our sales team, managing the entire process from listing to settlement, ensuring compliance, accuracy and service excellence every step of the way.

Your responsibilities will include:

• End-to-End Sales Administration - managing Form 6s, contracts, marketing campaigns, compliance documents, invoicing, settlements, spreadsheets, and reporting.
• Auction Support – preparing auction packs, bidder registrations, live-streaming, contract execution, event setup, and providing in-room/on-site assistance.
• Agent & Client Support – liaising with agents, vendors, buyers and solicitors; providing updates; requesting information; and maintaining smooth communication across all parties.
• Marketing & Listings – launching campaigns, updating open homes and property details, coordinating signage, photos, brochures, and online portals.
• Office Contribution – assisting with printing requests, maintaining supplies, attending to reception overflow, and ensuring the office is tidy, professional and client-ready at all times.
• Collaboration – supporting multiple agents across the business, balancing priorities, and keeping processes consistent and efficient.

Who We're Looking For:

We're after someone who not only has the experience but thrives in a busy, detail-driven environment. To be successful in this role, you'll need:

• At least 3 year of experience in a real estate sales admin role (must-have)
• Holds a current Real Estate Certificate
• Strong knowledge of contracts, compliance, and end-to-end sales processes.
• Tech-savvy and confident using CRMs and cloud-based systems such as VaultRE, Realworks, Google Suite, Auctions Live and other industry systems.
• Exceptionally organised, reliable, and thrives under pressure
• A team player who communicates clearly and backs others
• Passionate about structure, processes and getting things right
• Willing to occasionally work evenings and weekends to support events
