We're Hiring: Operation & Administration Manager

Sydney, NSW | Full-time

We are seeking a highly organised and proactive
Administration Manager
to join Rivkin team. This role is ideal for a professional with a background in finance administration, preferably with experience in a brokerage firm, who is ready to take ownership of key operational functions and lead a small but dynamic team.

Rivkin is a privately-owned financial services firm with a long-standing track record of helping Australians take control of their wealth. With offerings spanning equities, superannuation, and strategic investment advice.

Key Responsibilities:

  • Oversee and manage a team from 3 to 5 administration staff, including offshore team members.
  • Maintain and strengthen relationships with business partners.
  • Handle client service enquiries with professionalism and efficiency.
  • Coordinate daily administrative operations to ensure smooth business functions.
  • Support senior management with reporting and operational requirements.

Requirements:

  • Minimum of 5 years' experience in an administration role within the financial services industry, ideally in a brokerage firm.
  • Demonstrated experience managing staff, including offshore teams.
  • Strong interpersonal and relationship management skills.
  • Proven commitment to process excellence and continuous improvement.
  • Excellent communication skills with a client-focused approach.
  • Ability to multitask and manage competing priorities effectively.
  • Exposure to regulatory processes such as AML/CTF is considered an asset.
  • Experience with CRM platforms, preferably HubSpot, including managing client records, tracking interactions, and generating reports to support business operations.
