Company Overview

iEDM is the engineering project manager and principal contractor responsible for the temporary infrastructure required at the Australian Grand Prix. You will join a highly skilled and diverse group of people from professional, events and construction backgrounds. The Site Area Coordinator plays a critical role in the project, working with the Event Facilities team with key project managers as well as with the Construction team to manage onsite works during the key delivery phase of the project and in turn help deliver a successful event.


Role Summary

The project is fast-paced, dynamic and will require you to think on your feet, using an outcome focused approach to delivering your work. The candidate should display a high degree of energy, enthusiasm and pride in their work.

This contract role suits recent event or sports management graduates who wish to experience one of the largest and most prestigious events in Australia.


Key Responsibilities

  • Understand infrastructure layout of site areas:

  • Understand and review site construction and operational drawings (PDF format).

  • Review and understand relevant construction programmes.
  • Understand design intent of areas – e.g. where are people supposed to go during both the build process (contractor access and public access) and during the event (operational activities) to help you understand what you are looking at while onsite.
  • Work autonomously to 'own' and facilitate the works within your respective area including close control and coordination of concurrent logistics.
  • Maintain open communication with Senior Site Manager and Construction Manager to coordinate daily activities in your area per the approved programme.
  • Coordinate agreed delivery and logistics programme of infrastructure onsite in liaison with contractors.
  • Undertake facility fit-out checks to ensure accurate delivery of event infrastructure.
  • Oversee works activities in your area to provide iEDM supervision of works at all times.
  • Frequently engage with suppliers to ensure suppliers are aware that they have site support and to keep them accountable for scheduled works.
  • Ensuring contractors and suppliers adhere to iEDM's project safety policies (as Principal Contractor for the project), maintaining and enforcing constant safety awareness of site conditions, site works and interface between project contractors and public.
  • Ensure site safety rules are being followed in each respective area. For example, monitor:

  • Closure of works zone gates for public safety.

  • Vehicle speed in the park is maintained (10km/h).
  • Safe pedestrian site access management, including appropriate signage.
  • Ensure safety measures are adhered to by contractors including high vis, hard hats where they are required.
  • Safe working at heights (appropriate access measures and harnesses where appropriate).
  • If something doesn't feel right, don't walk past /ignore it. Either ask the supplier to confirm their activities are within their safe work method statements or call one of the safety team or Construction Manager to check.
  • Install pedestrian and construction signage as required. Remove construction signage before the Event and replace for the bump out.
  • Maintain a clean and controlled environment, including:

  • Ensuring contractors remove their general rubbish and construction waste.

  • Controlled access (i.e. not driving over grass) when its wet or making undue mess and damage impacting Event presentation.
  • Keeping fence lines neat and tidy.
  • Site manage works within your area in consultation with the iEDM commodity project manager. For example:

  • The iEDM Fencing Project Manager might meet you in an area to mark out the next day's fencing installation. When the supplier is ready to commence works, he/she will be able to make contact by 2-way radio and meet to show where the marks have been placed and ensure it is positioned in the right location.

  • The iEDM Portable Buildings Project Manager might call you on the day and advise that EMAC # XX etc. are arriving that day and ask for you to meet with the contractor onsite to provide directions.
  • Carry out Facility checks using the FMS (Facility Management System) software.
  • Conduct Hammertech inspections of infrastructure in your respective area:

  • Download the Hammertech Inspect app

  • Marquee and Tent Structure Final Safety Inspection.
  • Portable Building Inspection

or such other amended or additional duties as directed by the Employer.


What You Bring

  • Have excellent communications skills and a positive and enthusiastic approach to their work.
  • Ability to multitask, while running day to day responsibilities be prepare for ad hoc tasks.
  • Enjoy being part of a team environment and be willing to collaborate and perform tasks with others.
  • Ideally a graduate or student of Events Management, Sports Management or Business disciplines, or experience in this role at large events.
  • Experience in office administration / reception or event management roles will be beneficial.
