About The Role
Located in our Sydney office, the Contracts Administrator will play a crucial role in supporting the Senior Project Manager to deliver various industrial projects, including multimillion-dollar self-storage and warehouse developments across Sydney and Regional NSW, with more exciting projects on the horizon. You will ensure project success through effective contract management, cost control, and strong collaboration with key stakeholders. Key Responsibilities
Contracts & Procurement
- Prepare, review, and manage contracts and trade packages
- Assist with tendering, quote analysis, and procurement registers
- Liaise with clients, subcontractors, and suppliers
- Monitor contract performance and project costs
Operations
- Manage procurement, scheduling, and deliveries
- Support Senior Project Manager with claims, reporting, and contract payments
- Track long-lead items, subcontractor performance, and project progress
- Ensure systems and documentation are accurate and up to date
Financial
- Prepare budgets, forecasts, and financial reports
- Monitor costs, variations, invoicing, and compliance with SOPA/legal requirements
- Manage purchase orders, subcontracts, insurances, and payment schedules
Document Control
- Maintain project registers and documentation
- Issue and track subcontractor defects to completion
Safety & Quality
- Ensure contractor compliance (SWMS, personnel, equipment in 1Breadcrumb)
- Assist with project safety plans and maintain 1Breadcrumb
- Manage defects in Procore and ensure ITPs are completed
About You
You will be a detail-oriented Contracts Administrator with strong experience managing large-scale, industrial/commercial construction contracts and a proven ability to meet deadlines and maintain high-quality standards. This position requires an individual with excellent financial acumen, communication and negotiation skills, with the ability to collaborate effectively with various stakeholders to ensure project success. You can demonstrate:
- Previous experience in contract administration within the construction industry, preferably industrial projects
- Strong knowledge of construction contracts, regulatory requirements, and project management processes
- Attention to detail and a proactive, problem-solving mindset and initiative
- Proficiency in Procore and MS Office Suite are desirable
