Our Intermodal Business Unit has a full time permanent opportunity for an Administration Supervisor based in West Melbourne to support our Rail Operations team. This opportunity is responsible for overseeing the administrative and financial reporting functions within rail operations, ensuring efficient processes, accurate billing, and strong stakeholder engagement.

What does the job look like?
With a strong focus on operational excellence, customer service and reporting, this position is ideal for someone with proven supervisory experience and a strong background in financial reporting and stakeholder communication. Key areas:

  • Lead and streamline administration processes by developing and maintaining efficient procedures, ensuring timely invoicing, and driving continuous improvement initiatives
  • Generate and deliver accurate financial reporting through effective revenue and cost capture, weekly billing audits and payroll verification
  • Enhance customer satisfaction by fostering strong internal and external relationships and resolving issues promptly and constructively
  • Manage and develop team performance through goal setting, coaching and development planning
  • Play a lead role in supporting the implementation of systems

  • Proven leadership experience in leading administration or operations teams, ideally within logistics, transport, or rail industries
  • Excellent Transport Management Systems experience & exposure to SAP would be preferable
  • Strong financial acumen, with hands-on experience in revenue and cost reporting, payroll verification, and generating KPI or billing reports
  • Strong customer-focused mindset, with experience resolving internal and external stakeholder issues in a fast-paced, service-driven environment
  • Demonstrated ability to engage with senior stakeholders, providing clear, data-driven insights and updates on operational and financial performance
  • Ability to meet weekly deadlines in an effective and accurate manner
