**Job Description** About the Opportunity**
We have an exciting opportunity for an Executive Assistant to join our Impact Missions team. In this role you'll play a key part in driving organisational effectiveness by managing workflows, supporting high impact projects, and ensuring smooth operations across the portfolio. This Is a unique position offering a mix of project coordination, brief writing, and executive support, ideal for someone who is resourceful, adaptable, and solutions focussed.
Your day to day will Include:
- Managing and refining core administrative and management processes to support operational excellence.
- Leading end-to-end coordination of key portfolio activities, including milestone planning, reporting, calendar management, board papers, budget tracking, and other operational reporting.
- Identifying and implementing process improvements to streamline workflows and boost efficiency.
- Conducting research, market landscape assessments, and engaging stakeholders to inform strategic decisions.
- Coordinating team travel and event logistics to ensure smooth execution.
- Supporting due diligence and assessment processes for selecting and evaluating potential partners and funding opportunities.
- Providing executive support, including calendar and travel coordination, financial administration, drafting communications, and preparing reports and presentations for the Executive Director.
**Qualifications** About You**
You will bring a proactive and solutions-driven mindset to this role, with experience managing projects and workflows in dynamic environments. Ideally, you will have:
- A degree in International Development, Political Science, Economics, Business, Communications, or a related field.
- 2-3 years’ experience in project coordination, operations, or management roles.
- Skills in coordinating multiple projects and deadlines effectively.
- Experience in fast-paced, agile environments where you’ve resolved operational challenges and improved systems.
- Proficiency with MS Office and project management tools such as Asana (or similar).
- Strong communication skills, with the ability to collaborate effectively with diverse stakeholders.
- A commitment to confidentiality and handling sensitive information with care.
- Excellent time management and a focus on delivering high-quality outcomes.
