We are looking for a highly motivated Executive Assistant to provide confidential, efficient and customer-focused executive support to the Director of Community Development. This role is integral to ensuring smooth operations across the directorate, managing key communications and supporting high-level decision-making processes.

**Location**: City of Melville Civic Centre

**Salary**: $82,931.49 to $95,984.48 pro-rata p.a. + 11.5% Super

**Employment Type**: Permanent, Full Time

**What You’ll Be Doing**
- Providing high-level executive business support to the Director of Community Development, ensuring confidentiality and efficiency
- Coordinating the preparation and review of Council Reports, Briefing Notes, and key presentations to the Executive Leadership Team, Elected Members and Council
- Managing the Director’s calendar, ensuring seamless scheduling, briefing preparation and efficient meeting coordination
- Acting as a key liaison between internal and external stakeholders, handling correspondence, inquiries and requests with discretion and professionalism
- Supporting recruitment, policy review and business improvement initiatives within the Community Development Directorate
- Organising and coordinating meetings, workshops and briefings including agenda development, minute-taking and follow-ups
- Maintaining up-to-date performance reports and action registers, ensuring timely updates to the Director on key matters

**What We’re Looking For**
- Minimum 5 years’ experience in a senior executive support role, with the ability to anticipate needs, manage competing demands and handle confidential information with discretion in a politically sensitive environment
- Proven ability to prioritise multiple tasks seamlessly, maintain excellent attention to detail and effectively manage a senior executive’s workload
- Strong relationship-building skills with the ability to engage with internal and external stakeholders at all levels, demonstrating professionalism, diplomacy and discretion
- Proactive approach to problem-solving, decision-making, negotiation and conflict management with the ability to adapt to change in a fast-paced environment
- High proficiency in Microsoft Office, ERP systems, data analysis and reporting, with the ability to research complex issues and produce well-structured reports and recommendations
- Highly resourceful and proactive with the ability to work both independently and collaboratively to support executive-level decision-making
