The Role
In this pivotal support role you will be responsible for keeping up to date will the administrative tasks for the Property team. This includes, assisting Senior Lease Administrator with paying rent and outgoings in a timely manner, amending rent and outgoings, invoicing sub-tenants, receipting subtenant rentals and managing arrears, reporting and analysing financial information of Subtenants and Landlords in conjunction with the Finance team, tracking and reporting critical dates of all leases and subleases, update and maintain Landlord and subtenant information (including financial and contact information) and updating lease documentation to ensure Progenesis database is up to date.
Prepare rental rebate letters, credit notes and arrears reports at the directive of the Senior Lease Administrator. Administrative responsibilities include supporting National Leasing Manager and wider property team to include preparing documentation for negotiations, tenders, etc. Execute property team tasks such as systemising folders, implementing processes, organising travel, receipting property teams invoices, preparing presentations and organising weekly meeting agenda / note taking. Other administrative property related administrative tasks to be undertaken as directed by the Property department management.
Key Responsibilities
- Liaise with the Senior Lease Administrator and working closely together supporting the function of lease administration tasks and transition lease administration, including analysing and updating data, and becoming familiar with a new Progenesis system.
- Update and maintain the lease database, interpreting and adding new leases, properties, landlords, tenants, rent, rent reviews and option periods and financial information, along with all relevant lease documentation.
- Ensure all lease documentation is instructed and completed in a timely manner having regard to company’s standard policies.
- Support Senior Lease Administrator in processing rental payments and all other financial transactions in a timely manner.
- Support Senior Lease Administrator in reconciling and reporting outgoings adjustments. Analyse and compare rental payments in accordance to lease documentation
- Analyse and report as required sub tenant arrears. Support arrears management.as required
- Develop and maintain relationships internally and externally with Property Managers and Landlords.
- Provide input into streamlining leasing processes and reporting to introduce efficiencies where possible.
- Organise and file bank guarantees and insurance certificates as and when needed.
- Check recurring monthly tenant charges and sundry charges, issue tax invoices and supporting documentation as required.
- Support Senior Lease Administrator with daily duties of operating the lease administration system.
- Assist Senior Lease Administrator in conducting lease audits as required. Financial analysis of rents required.
- Undertake analytical benchmarking work as required by National Manager Development and Facilities.
- Assist with preparation and presentation of portfolio reporting to executive team.
- Assist in scheduling and structuring weekly, monthly meetings.
- Creating templates and documentation for leasing, lease administration matters as required.
Experience & Attributes
- Minimum of 2 years in a Lease Administration / Property Administration / Financial Analyse roles
- Accounting/Finance background preferred
- Proven experience in analysing and interpreting leasing agreements and financial statements
- Experience with Progenesis and/or Esker Systems preferred but not required
- Highly competent in Microsoft Excel and PowerPoint
- Highly organised with good time management skills
- Competent computer skills (Excel, PowerPoint and Progenesis and/or Esker Systems)
- Strong accuracy and attention to detail
- Excellent written and verbal communication skills
- Able to communicate with others, identify problems, and resolve potential conflicts
- Self-motivated individual who takes initiative and can work in a collaborative team environment
