**Your role in a nutshell**:
This role is an integral part of the Retail team providing financial and administrative to the Property Manager & Store Development team to help manage the property portfolio whilst assiting the Finance team with rent and end of month reconciliations including the raising of IMO’s and PO’s.

Property Coordination:
- Assist with administrative real-estate tasks, collation of supporting data, approval processes, documentation and stakeholder data management into the TBS Qube/Horizon database helping to ensure critical deadlines are met. This position contributes to the success of TBSs unique retail experience and landscape per the retail portfolio, principles, strategy and values.
- Maintain an accurate tenancy schedule and leasing filing system.
- Assist with keeping track of rent reviews and critical leasing dates.
- Assist with raising IMO’s and PO’s for the Property and Store Development Team.
- Prepare the rent schedule for payment schedules
- investigating and resolving account issues, analysing data variances, and ensuring accurate data before reporting to clients.
- Reconciliation of rents monthly including following up with stores/landlords to ensure that refunds have been processed in a timely manner.
- Reconciling lessee/ lessor bank accounts.
- Processing month end accruals for store and rent expenses.
- Work closely with AP and AR team to ensure processing is accurate and assist with queries from landlords.
- Provide input to the ongoing development of key internal and external systems and processes to improve overall efficiency and productivity.
- Opportunity for client facing experience.
- Monthly sales reporting to landlords.
- Work with Insurance agents and record keeping of insurance policies.
- Working closely with the PM and SDM to maintain forecasting, and budgeting spreadsheets. Making sure that Capex is within the Global Annual Budget.
- Manage the Storage Leases end-to-end for AYR and Christmas licences.
Finance Admin
- Ensure all invoices over $1k relevant Purchase Orders and receipts have been raised and are correct. For all invoices under $1k making sure that appropriate level of approval is attached.
- Preparing daily EFT payments as well as larger weekly EFT payments.
- Preparing all International weekly payments, ensuring that all cut-off times are adhered
- Processing invoices from across the organisation in a timely manner
- Ensuring that all invoices have appropriate level of approval attached, following up for approval where necessary.
- Reconciliation of the monthly statements, ensuring that all rent invoices are received in a timely manner from relevant departments.
- Responsible for coding corporate credit cards monthly - ensuring that there is a receipt for each charge and following up with the business if there are any queries arising from charges.
- Preparing month end accruals and reclass journals.
**What we look for**:
- Ideally hold a relevant tertiary qualification in Property, Finance or relevant experience.
- Enjoys networking and collaboration with a service orientated approach.
- Ability to adapt your communication style to build and maintain strong relationships, consistently maintaining a professional attitude.
- Is proficient in Excel, SAP and other databases such as Horizon.
