Position Description: Art Administrator and Registrar
Reporting to: Head of Art
Location: Melbourne
Overview:
A rare and exciting opportunity has arisen for a passionate individual to work within Leonard Joel’s Art Department. Leonard Joel is a well-known and respected auction house dealing in Fine Art, Jewels, Decorative Arts and Private Collections. The Art Administrator and Registrar will work with the Head of Art and Specialists, as well as staff accountable to the department in a team environment. The primary objective of this role is to provide a high level of administrative support to the Art Department with specific accountability for all Fine and Specialty sales. To deliver excellent customer service to Leonard Joel clients and streamline and complete administrative and registrar tasks to facilitate an effectively run department whilst striving for continuous improvement.
Key Responsibilities (include but are not limited to):
- Internal communications - directing valuations to the appropriate specialists, management of auction fact sheets, accountability for the tasks for any Administrative casuals.
- Core Administration - consignment entry and filing, high level of data integrity, management of client documents including certificates, ensurepolicy compliance and industry standards are met for copyright, artist resale etc.
- Auction Processes - management of relevant Pre-sale and Post-sale communications for sellers, assistance with checking accuracy of vendor settlement, assistance with Fine and Specialty catalogue production processes including provenance refinement and cataloguing assistance where required, relevant auction invoicing and end of auction procedures, assistance with live auction as required, management of Invaluable approvals for relevant auctions.
- Stock management - assistance with RTV processes and collections especially client communications, management of stock control as required, management of internal stock transfers between offices, ensuring stock is appropriately prioritised and organised for relevant photography sessions (including cleaning and assembling of items as required), oversee the safe management and storage of all stock.
**Experience**:
- Administration experience highly regarded
- Sales and/or Hospitality experience highly regarded (multi-tasking in a fast-paced environment)
- IT systems to support auction processes (i.e. database, website administration etc.)
Skills & Behaviours:
- Exceptional administrative and organisational skills
Ability to prioritise and work well under pressure
- Conversant with Outlook, Word and Excel
- Ability to communicate effectively and professionally with a broad range of people
- Positive and flexible ‘can do’ attitude and strong team spirit
- Excellent attention to detail
