National Parks and Wildlife Service has a unique opportunity for an **Administrative Assistant** to join a close-knit and high performing team based at our stunning heritage office in Vaucluse.

As an Administrative Assistant, you will play a vital role in supporting a dynamic, purpose-driven team committed to enhancing conservation values across the Greater Sydney Branch. This highly collaborative role involves delivering efficient administrative support, exceptional customer service, and contributing to the smooth day-to-day functioning of field and office operations. You’ll be integral to the coordination of office systems, financial transactions, incident response, and stakeholder engagement - helping ensure our parks and people thrive.

Key responsibilities include:

- Liaising with local team and internal stakeholders to ensure timely communication and support
- Manage shared inboxes, calendars and maintaining clean up-to-date records
- Entering and tracking data in systems such as Content Manager (CM10) and internal registers
- Supporting financial processes including raising purchase orders, processing invoices and reporting
- Tracking area vehicle use and maintaining accurate fleet records and key registers
- Coordinating events, filming bookings and processing customer payments
- Keeping the Area calendar current and assisting with internal meetings and incident logistics
- Maintaining stores, filing systems, uniform audits and office supplies
- Working with your line manager to maintain and improve administrative processes across the Area

**About You**

To be successful in the role, you will have:

- Experience managing competing demands and maintaining high attention to detail to ensure administrative support is provided in a timely and efficient manner.
- Ability to communicate (written & verbal) & work collaboratively with office and field colleagues, senior managers, maintenance contractors, the general public & other government organisations.
- Experience in general administrative tasks such as ordering, purchasing, filing, mail and correspondence, creating and storing physical & electronic documents, maintenance of office equipment and overseeing stores and stationery levels.
- Experience providing high-quality customer service, responding to a wide range of enquiries, assessing incoming tasks, and adjusting priorities.
- Understanding of budgeting, purchasing, financial processes and reports.
- Willingness to support incident management teams during high pressure situations such as bushfires.
- Ability to learn and use multiple software systems including Office 365, Teams, Content Manager, SAP, MyWorkZone and finance software.

**Essential Requirements**
- Experience in administration including the use of computer-based systems such as word processing, spreadsheet and records management and records management systems.
- Knowledge of financial and human resource management procedures, policies and practices.
