**ActronAir is looking for a Service Administration Officer to join our Marsden Park Service Team.**

**ABOUT THE ROLE...**
Speaking to Dealers, Installers, End Users & Service Technicians; you will have the challenge of dealing with different unpredictable issues that can come up and will need to find solutions to get the result and ensure the client is satisfied.
**In this role you will be responsible for**:
**Service Technician Scheduling - This will be the primary role.**
- Planning, scheduling and follow up of daily service activities of Service Technicians.
- Assign technicians and ensure that all work orders are completed promptly.
- Ensure required equipment and parts are organised for the team prior to the commencement of work.
- Monitor and track work in progress.
**Following the implementation of new software over the next 18 months the role will transition to that of Service Administration Officer, at which time the key duties of the role will include**:
- ** Customer Support**:
- Schedule customers at the time of warranty request lodgement.
- Provide information and documentation to customer where required.
- Process phone payments.

Customer Follow up**:
- Respond promptly to Installers and Service agent queries such as:
- Spare parts ETA and tracking updates.
- Outcome of service visits.
- Follow-up collection outstanding parts.
- Follow-up disputed outstanding accounts.
- Issue purchase orders as support to regional supervisors in peak periods.

There will be times where you may need to provide cross function support as required to assist other company personnel/ departments.
**ABOUT YOU...**
The Service Administration Officer position requires someone with strong time management and organisational skills that can work within a busy service department, focusing on a quality high-level customer experience.
This role requires someone who is willing to do all that is needed to ensure all service jobs are delivered timely and efficiently.
**To be successful in this role you will**:
- Have previous experience in a service department.
- Strong Customer Service focus and Customer follow-up.
- High level of diplomacy with the ability to problem solve and resolve conflict.
- Ability to work under pressure and manage many and varied tasks simultaneously.
- High attention to detail and accuracy.
- Ideally possess previous work experience in a similar Planning / Scheduling / Administration / Customer Service role.
- Have an understanding and working knowledge of AP / AR functions.
- Be able to work with mínimal supervision and use your initiative when required.
- Highly developed computer literacy.
- Be open to further training and education in relation to our products, customer service and service processes.
- Possess a positive attitude.
**Relevant qualifications**:
- Certificate III in Business Administration will be highly regarded.
- A mechanical aptitude and working in a trades industry would also be an advantage.
