**Job Description**:
Are you an experienced and proactive Executive Assistant looking to join a global ASX listed blue chip organization and take the next step in your career?
Your role will be to provide effective administrative support to our Country GM, enabling him to move the dial and operate more efficiently and productively. You will enjoy collaborating with all levels of management, using your initiative to develop ways of working that enable our senior leaders to focus on making our business even more successful. Based at our North Ryde office, this role reports directly to the Country General Manager.
The key responsibilities of this role include:
- Provide scheduling, reviewing, organizational, administrative, and project support to the Country General Manager
- Maintain meeting schedules and the diary of the CGM so that meetings have aligned objectives, prep material and begin on time
- Maintain up-to-date and accurate meeting minutes, documentation and actions
- Maintain a key stakeholder engagement map for internal and external stakeholders
- Demonstrate initiative and make decisions such as scheduling meetings, screening mail, visits in person and phone calls and responding to queries
- Arrange all travel requirements
- Undertake end to end management of large-scale meetings, events and conferences
- Produce reports, correspondence, presentations and spread sheets
- Extensive experience as an Executive Assistant supporting a Senior Executive at CEO level
- Demonstrated ability to collect, analyse and present information in a meaningful manner
- Superior customer service and communication skills (verbal and written)
- A strong understanding of the need for diplomacy, confidentiality, discretion and judgement
- A high level of emotional intelligence, reading subtle cues and reacting with situational appropriateness
- Advanced knowledge of PowerPoint, Excel, Word and Outlook
- Exceptional organisation skills and strong attention to detail, with systematic and timely follow-through
- The ability to handle multiple tasks/projects and operate well under pressure
