**About The Role**
**Ventia** have been engaged by the **DJCS (Department of Justice and Community Safety)** to provide integrated Facility Management services incorporating planned, preventive, and reactive maintenance services, ad hoc services, and soft services including cleaning, ground, pest, and waste streams.
The DJCS has a diverse and complex property portfolio which consists of over 29 properties valued at over $2.7 Billion, ranging from Maximum - Minimum security correctional facilities; Post Sentence Facilities, Youth Justice, SESG training centres, Vic POL - CFA emergency complexes and community fire refuge centres.
As our scope of works has expanded, we are now seeking a **Program Coordinator** to provide their expertise across numerous sites in Victoria and will be based out of our offices in **Cremorne**, OR **Grovedale, VIC.**
The **Program Coordinator** will be responsible for supporting the Program Manager with all aspects of the PMO.
This includes assisting the Program Manager with updating the implementation plan, liaising where required with the relevant stakeholders to provide timely updates on progress against the plan and associated reporting, as well as identifying areas for improvement.
You will also be responsible for:
- Coordinating project activities and ensuring they are aligned with program goals and objectives
- Facilitating communication and collaboration among program stakeholders, including project managers and team members, business leaders, and other stakeholders
- Monitoring and reporting on program status, risks, issues, and performance metrics
- Participating in regular program reviews to ensure progress is on track and identifying opportunities for improvement
- Maintaining program documentation including regular updates to the Implementation plan and project status reporting as required for the Department
- Supporting the development and implementation of program governance processes and procedures
- Updating Project Action & Risk Registers
- Assist in the maintenance of systems for accurate and timely collection of data
- Timely collation of accurate management reporting that satisfies all internal and client driven reporting needs via Power BI or other methods as specified by the Program Manager
**About You**:
To be successful in this role, you will have experience working in a similar position accompanied with the following skills:
- Excellent stakeholder engagement skills
- Experience in MS Project and Visio preferred
- High standards across compliance and driving safety, health, environment, and quality (SHEQ) in your work
- Strong reporting skills
- Experience using PowerBI for reporting
- A current unrestricted drivers’ licence
- Be able to complete a pass a National Police Check and Medical
- Be able to provide evidence full covid vaccinations
