**How will I Help?**

As the Team Coordinator you will work closely with the Director, Government Affairs, WIB & Reputation Strategy within the Corporate Affairs and Community, a newly established business unit which brings together Government Relations, Media Relations, Corporate and Business Communications, and Foundations teams. This role exists to support the Director, Government Affairs, WIB & Reputation Strategy, by providing efficient and effective coordination of all office functions including diary, forward planning, and administration processes.

You will operate in a fast-paced environment. You will be able to work autonomously and as part of a team, liaising with a multitude of stakeholders across the broader Westpac Group.

**Responsibilities **, not limited to**:

- Coordination of leadership team key meetings, including the preparation of agendas and presentation material
- Ensure all material required for meetings is collated in day folders on a timely basis
- Prompt handling of internal and external stakeholder requests
- Maintaining the strong Executive Assistant network with stakeholders
- Processing all accounts in a timely manner which includes Invoice approvals and P-cards and reconciliation compliance
- Approval (as delegated on behalf of the Director, Government Affairs, WIB & Reputation Strategy) for WEAPS Staff reimbursements, IT requests in IT Store, SRM, Optus), PeopleHQ leave approval and eAcademy Learning requests.
- Updating and maintaining the team organisational chart and distribution lists, ensuring these are accurately reflected in the People Directory.
- Property/work point co-ordination
- General day to day office management support for the Director, Government Affairs, WIB & Reputation Strategy Maintaining and liaising with the National Press Club regarding upcoming addresses and events.
- Ensure upcoming events are in events register and maintained with actions required

**What do I need?**
- Previous experience working as an Executive Assistant
- 5+ years’ experience in the financial services industry and project management
- Advanced PC literacy (MS Office: Word, PowerPoint, Excel, Teams)
- Excellent verbal and written communication skills
- Knowledge of Westpac systems, policies, and processes
- Ability to work autonomously and as part of a team, liaising with all levels of the Business and our customers, building strong working relationships
- Strong organisational, time management, problem solving and communication skills
- Adaptability and flexibility
- Strong planning and organisational skills and the ability to manage multiple tasks at any given time
