**Your new role**
The purpose of this position is to support and assistant the Workplace Operations team with property & facilities, reception, concierge, and office administration.
As the face of AustralianSuper you will provide professional receptionist and concierge support for the Melbourne office, including greeting all visitors and ensuring all telephone calls are handled promptly, courteously and appropriately. You will need to issue passes to visitors and manage meeting room booking along with managing internal event bookings for internal use. On the rare occasion that we need some maintenance work, you will escort and supervise trades and contractors undertaking repairs.
Key duties will include but are not limited to;
- Providing property & facilities services as part of workplace operations covering leases and sub-leases, fleet management, accommodation, workplace design, relocations, renovations, capital works, repairs and maintenance.
- Checking office, kitchen and stationery consumables including receipting deliveries and re-ordering.
- Working with Wesley Place building concierge and building management.
- Checking the facilities management portal to triage, assign and action work requests.
- Arranging loading dock access for trades and contractors undertaking repairs and maintenance.
- Creating dashboards and reports to provide insights, data and information on workplace operations such as desk bookings, room bookings, utilisation, work order request volumes, visitor volumes, invoice volumes, expenditure etc
- Participating in WHS meetings and inspections regarding building and facilities
- Assisting with first aid and fire warden rostering and reporting
- Providing assistance and participating in emergency response, disaster recovery, evacuations, drills and crisis management where required

**What you’ll need**
- Experience in a professional concierge, reception, office administration, property and facilities management.
- Excellent written and oral communication skills and ability to liaise and build productive working relationships with staff at all levels, including senior management and external and internal clients.
- The ability to relay information clearly, present a professional image, and handle appropriately a variety of telephone calls.
- Tenacity to problem solve, not only for the immediate problem, but also to look forward and identify other potential problems or additional consequences.
- Self-starter and comfortable working with difference stakeholders in the business. Attention to detail and pride in performance.
- Ability to work to tight deadlines and manage competing priorities.
- Administrative, Secretarial or Office Management Certificate would be highly desired
