Our client is seeking to engage a Project Administrators.
**Position Overview**
The Project Administrator will work closely with all members of the Projects Team to provide support for the broader functions of the business unit. The Project Administrator will assist various internal and external stakeholders to deliver the best possible service including meeting important deadlines to ensure the smooth and efficient running of all Projects.
**MAIN DUTIES**:
- Prepare construction contracts and ensure timely executions;
- Develop, review and negotiate variations to contracts, programs, projects and services in conjunction with Project Managers;
- Liaise with all Project Managers and prepare monthly status reports;
- Assist with the preparation of monthly reports for relevant stakeholders;
- Communicate regularly with the Commercial, Legal & Finance Team to ensure correct controls and documentation handover are in place;
**Administration**
General administration support for the Projects Team to ensure compliance and effective management of the administration associated with the day to day operations of the team. This includes but is not limited to the following:
- Electronic Filing
- Database management
- Coding of invoices in Redmaps for approval
- Updating of spreadsheets
- Preparation of correspondence
- Answering phones promptly and ensuring messages are delivered in a timely manner.
- Calendar management
- Meeting preparation including distribution of materials, minute taking and meeting room set up, as required
**Reception**
The Projects Administrator will be required to cover reception on a rotational roster as directed by Human Resources management. This means from time to time there may be requirements to assist with reception at last minute therefore positively adapting to this requirement is essential.
**Other Duties**
Any other duties as directed by the Projects Team.
