**Position Overview**
**Key Responsibilities**
- **Office Management**: Oversee the daily operations of the office, ensuring a clean, organised, and well-supplied workspace. Manage office supplies and coordinate with vendors for any maintenance or office-related needs.
- **Scheduling & Calendar Management**: Organise and manage team schedules, coordinate appointments, and book meetings with internal and external stakeholders.
- **Meeting Support**: Attend meetings as required, record accurate minutes, and ensure timely follow-up on action items to promote effective communication and accountability.
- **Client and Stakeholder Liaison**: Serve as a professional and welcoming point of contact for clients, families, and stakeholders, ensuring inquiries are handled promptly and with care.
- **Assisting with Rostering**: Support the team by creating and managing staff rosters, ensuring adequate coverage and efficient resource allocation.
- **Record Keeping & Compliance**: Maintain accurate client records and ensure all documentation complies with NDIS standards and confidentiality requirements.
- **Billing & Invoicing Support**: Collaborate with the finance team to support basic billing, invoicing, and NDIS claim processing as required.
- **Policy and Procedure Management**: Assist in updating and maintaining office policies and procedures, ensuring staff adherence and compliance with organisational standards.
- **Data Entry & Document Preparation**: Prepare, format, and manage documents, reports, and communications, ensuring professionalism and accuracy in all materials.
**Qualifications & Skills**
- Proven experience in an administrative or office management role, preferably within the NDIS or a related sector
- Strong organisational skills and keen attention to detail
- Excellent written and verbal communication skills, with the ability to interact professionally with clients, families, and stakeholders
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office management software
- Ability to multitask, prioritise, and handle responsibilities with a proactive, problem-solving approach
- Strong ethical standards, with an understanding of confidentiality and data protection

**Job Type**: Part-time
Pay: $34.00 - $40.00 per hour
Expected hours: No less than 24 per week
Schedule:
