Are you an organised, proactive administrator who thrives in a fast-paced environment with heart and purpose? We are seeking a dedicated **Administration Officer** to support the **Seniors Living Management Team**, reporting directly to the **General Manager of Seniors Living**.
This is a rewarding full-time opportunity to join a values-based, not-for-profit organisation and play a key role in the smooth operation of our Residential Aged Care leadership team. You'll work onsite at our **Kenmore Campus**, in a role that offers both variety and flexibility.
**What You’ll Be Doing**:
Your days will be diverse, fast-paced, and people-focused. You’ll provide critical admin support to the GM and wider leadership team, helping drive efficiencies and supporting better outcomes for residents and services.
Your responsibilities will include:
- Managing diaries, calendars, meetings, and travel for the GM and team
- Preparing agendas, taking minutes, and distributing executive correspondence
- Coordinating reports, presentations, and business documentation
- Processing credit card reconciliations and invoice approvals
- Maintaining accurate records and assisting with project admin tasks
- Liaising with internal and external stakeholders with professionalism and care
- Contributing to a strong team culture and assisting across admin functions as needed
**About You**:
You’re a natural organiser, a skilled communicator, and someone who takes pride in providing exceptional support to others. You enjoy working behind the scenes to help things run smoothly and efficiently — and you're not afraid to take initiative or suggest a better way of doing things.
**You’ll bring**:
- Proven experience in administration or executive support (ideally 3+ years)
- Strong organisational and time management skills
- Excellent written and verbal communication
- High level of discretion and ability to handle sensitive information
- Confidence with Microsoft Office (Word, Outlook, PowerPoint, Excel)
- Ability to prioritise competing deadlines and work both independently and in a team
A formal qualification in **Business Administration or a related field** will be highly regarded, but not essential if you have strong relevant experience.
