**About the Role**
To provide administrative support to Health Information Services and to internal and external customers in a timely and confidential manner.
This role involves reception duties in relation to release of clinical information and the collection, collation and scanning of clinical documentation into the digital medical record.
**Key Responsibilities**
Respond to requests for clinical information, ensuring timely fulfillment in compliance with confidentiality policies
. Scan medical records to the Digital Medical Record (DMR) and process images from external providers
. Assist with the retrieval, tracking, and maintenance of medical records, ensuring queries are resolved within timelines
. Accurately enter data into the Patient Administration System (IBA WebPAS) and Digital Medical Record (BOSSnet)
. Provide support and information to students and multi-disciplinary staff during their placements at Grampians Health
. Participate in team meetings, quality improvement projects, and adhere to Occupational Health and Safety policies while ensuring confidentiality at all times
**Skills & Experience**
Previous clerical or clinical experience, preferably in a hospital environment
. Ability to accurately use medical terminology
. Proficient in computer use for accurate and timely data entry into the Digital Medical Record
. Excellent communication, customer service, and interpersonal skills; able to maintain effective relationships and handle telephone inquiries confidently
. Strong time management, organizational skills, and ability to work effectively in a team to meet targets and Key Performance Indicators
