About us

As a department our purpose is to help the community to prevent, prepare for, respond to and recover from the impact of fire and emergency events.

Queensland Fire and Emergency Services (QFES) is the primary provider of fire, rescue and emergency management programs and services throughout Queensland. The department encompasses the Fire and Rescue Service, disaster management services, the Rural Fire Service and the State Emergency Service, and also supports other volunteer groups providing emergency response to Queenslanders.

QFES is one department with many services, many capabilities and many partners.

Purpose of the role

The SES Volunteer Support unit is a volunteer-focused team with the specific intent of sourcing and coordinating opportunities for best practice and to help transform QFES volunteerism into an adaptive, modern workforce by empowering community capability and developing close partnerships with other volunteer organisations, local government, research institutions and community groups. The unit is responsible for both the internal and external SES grants programs as well as the governance requirements associated with SES Support Groups and Gift Fund. The SES Grants team provides on-going governance and support in the development and submission of grants, subsidies and allowance programs that assist SES Volunteers to deliver their functions in times of emergency and disaster events.

Reporting to the Program Manager, you will be a key member of the team contributing to the development of the SES Volunteer Grants Programs. You will assist with the end-to-end administration and/or promotion for all grants and subsidies funding, including analysis, assessment and reporting of financial performance and monitoring, whilst ensuring compliance with program guidelines and contractual obligations. You will also assist with the review and implementation of statewide project initiatives, practices, policies and procedures relating to funding programs that supports disaster management stakeholders and helps to build community resilience.

Key requirements

- Knowledge and/or Experience in a program and project management environment
- Knowledge or experience in financial procedures and data administration.
- Experience as a volunteer or with volunteer organisations.

Special requirements
- The incumbent will be appointed as a staff member of the SES and the hours of duty applicable to this role are pursuant to the Queensland Public Service Officers and Other Employees Award - State 2015: specifically, the spread of ordinary hours for SES staff are 0600 to 2200, Monday to Sunday.
- Capacity to work on night and/or weekend to suit an SES volunteer environment.

Your key accountabilities

Your part in the ongoing success of our department, in supporting frontline services will see you responsible for a variety of work, including, but not limited to assisting to:

- Contribute to the implementation of strategies for the development of an SES Volunteers Grants Program to support SES Groups with the delivery of their functions and meet organisational objectives.
- Provide high-level administrative and project support, through proof-reading, research and analysis, invoice processing and acquittal management, ensuring compliance with governance frameworks, policies and procedures.
- Maintain on-line grants management systems, registers, and databases to ensure information is current and accurate, and identify improvement strategies to ensure all grant agreement requirements have been met.
- Plan and coordinate grant workshops and participation in events to promote and facilitate access to, and information for, funding opportunities and initiatives to support disaster management stakeholders.
- Assist in the regular monitoring and evaluation of grants, including financial reporting to ensure compliance with contractual obligations and funding arrangements meet departmental and legislative requirements.
- Assist in the preparation and review of reports, briefings, submissions, and correspondence on matters relevant to program initiatives and issues, in accordance with departmental requirements and governance.
- Liaise and maintain effective working relationships with internal and external stakeholders to promote and/or advertise the program, grant opportunities, and keep them informed of program initiatives.
- Participate in and assist with projects and work collaboratively in a team to ensure positive outcomes and deliverables are met within agreed timeframes, cost and quality.
