My client, a group of small businesses is searching for an Executive/Personal Assistant to assist the General Manger of the group. This is a newly created role in which you will support the General Manager in his day. This is a great opportunity to join the business and make this role your own
**About the Role, About you**:
As the Executive / Personal Assistant to the General Manager, you will be required to understand what it takes to step up and ensure all the minor tasks are being taken care of. Your day will be varied and may be consumed with meetings taking notes/action items, with diary management by liaising with mangement/staff and assisting in scheduling his day. You will be the assertive person who can understand what the GM needs you to do to help his day go smoothly. You will be organised, time efficient and be able to learn to know what is required in supporting an executive with a very busy schedule. You will have a minimum of 3 years experience supporting an executive with a very busy schedule.
**The Role**:
- Assist the General Manager by providing professional and effective personal assistance, project planning, and administrative support. This includes diary management, making arrangements for all meetings, appointments, and travel in line with priorities and needs of the group.
- Assist with administrative tasks, reports, tenders, presentations where required
- Manage the flow of information within the Office, ensuring matters requiring the GM's personal attention are addressed efficiently whilst referring items for appropriate action.
- Draft routine correspondence and gathering relevant information for response preparation.
- Liaising and collaborating with staff, senior management team, stakeholders, etc.
- Where required, meeting preparation, draft Agendas, attend meetings, take notes/minutes and follow up minutes/notes
- Meet and greet clients/staff
- Other ad-hoc duties as required
**To be Successful**:
- Minimum 3 years experience supporting an executive
- Ability to provide a high level of administrative support
- Proven ability to successfully coordinate multiple activities, under pressure and with competing priorities and within tight timeframes
- Thrive in a fast-paced and busy environment
- Excellent attention to detail and a very high level of accuracy
- Superior verbal and written communication skillset
- Friendly attitude with an assertive capability where required
- Confidential and discreet
- Able to work autonomously
- Ability to recognise what support is required by the GM and step up and assist
- Computer literate with Intermediate/advanced MS Office suite essential
- Experience with minute taking and communicating with the senior management team
- Excellent electronic filing system skillset
- Safety conscious
- Ability to continuously support a good cultured environment
