**What We’re Looking For...
As our **Office Administrator/Receptionist **you will be responsible for ensuring the smooth operation of the general office and facilities and providing administrative support as required.
**Your role will include:
General Reception
- Greeting and directing visitors via reception doorbell to the appropriate parties.
- Receiving and distributing mail; Receiving couriers and coordinating the delivery of packages.
- Answering and redirecting incoming phone calls.
- Follow audit protocol for scheduled and unannounced audits.
Office Administration
- Monitoring kitchen consumables, such as milk, tea, coffee, biscuits, and fruit. Making regular orders and replenishing stock.
- Monitoring office consumables, such as stationery, masks, and sanitiser. Making regular orders and replenishing stock.
- Ensure meeting rooms are kept tidy and well stocked.
- Meeting room and office management as needed, e.g., allocating to international visitors.
- Coordinate with Facilities Manager to ensure the office is well-maintained, organised, and secure.
- Organise catering as required.
- Management of parking resources for staff and visitors.
- Management of security access passes register and programming of new cards to the security system.
- Managing WHS office tours and checklists for new hires, and contractors.
- Assist with ad-hoc travel bookings
- Assist with planning in-house or off-site activities, special meetings, and staff celebrations that contribute to the culture of the organisation.
- Assisting with special projects and any additional tasks as required.
HR Support
- Reporting and data entry support for HR.
- Invoicing and PO support for HR.
- Assist HR with on-boarding and off-boarding processes for employees, contractors, and temporary staff.
**About you:
- Solid all round administration experience demonstrated by at least 2-3 years in a similar position.
- Strong customer service approach to both external and internal (employees) customers.
- Competent proficiency in Microsoft Office Word, Excel, Outlook, and PowerPoint.
- Experience using databases and online systems.
- Sound judgement with the ability to ‘read between the lines’.
- Ability to maintain confidentiality and use discretion.
- Experience with juggling competing priorities.
- Ability to work independently, to self-direct work, as well as work with a team as required.
- Reliable, enthusiastic work ethic.
- High attention to detail.
