- The Team Assistant sits within the Finance and Business Services Group, headed up by the Chief Financial Officer. The Finance and Business Services, or FaBS as we like to call them, is the engine room of REA Group. The team is comprised of Finance, Risk & Assurance, Workplace Experience & Procurement, Financial Reporting and Tax.
What the role is all about
- The Team Assistant supports the 4 General Managers in the following ways:
- Enhancing the productivity of the Business and Financial Services team by assisting with activities such as: Diary management, meeting preparation (bookings, required prep documents, minutes and agendas, meet guests, prepare meeting rooms), develop schedules, account related processes, coordination of team and leadership meetings, and ensuring training activities are undertakenOther administration activities including travel bookings and management, expense reconciliation, credit card reconciliation, raising purchase orders and assisting with relevant documentation, new starter posts, FaBS newsletters and posting content in the FaBS slack channel-
- Responsible for creating agenda and presentation decks for townhalls and controlling the presentations-
- Be the support for the team culturally, informing leaders of any noticeable concerns, communicating any team feedback or suggestions to the Executive Managers when necessary-
- Continually looking for opportunities to develop and improve systems and procedures to maximise team efficiencies-
- Provide administration as a School Lead for the School of Finance ensuring all training and new content is captured and delivered to the wider Finance business unit.Who we’re looking for- Someone with a few runs on the board with prior team assistance/administrative support experience-
- Proficiency in Word, Excel, PowerPoint and Canva would be a bonus-
- Experience organising team meetings, events and engagement activities for teams-
- Ability to manage & accomplish multiple projects within set timeframes and budgets with little supervision-
- High attention to detail with strong written communication skills, including exceptional grammar and proof-reading skills-
- Looks at tricky situations through a solutions-focused lens-
- Work productively in a fast paced and agile environmentThe REA experience
