The Department of Justice and Community Safety (the department) is seeking a Branch Executive Assistant to provide a critical role within the Koori Justice Unit.
This is an Aboriginal Designated Position, classified under 'special measures' of section 12 of the Equal Opportunity Act 2010. Only Aboriginal and/or Torres Strait Islander people are eligible to apply.
About us
The Aboriginal Justice group of the Department of Justice and Community Safety (DJCS) is committed to driving systemic change in the justice system, to connect, support and deliver better outcomes for the Aboriginal community. The group works in partnership with Traditional Owners and the Victorian Aboriginal community to embed the principles of self-determination in the justice sector. The group is also responsible for leading the department's response to the Yoorrook Justice Commission and administering the Victorian Government's Stolen Generations Reparations package. It also works across government to deliver of whole of Victorian Government initiatives.
The Branch Executive Assistant will report to the Executive Director, Koori Justice and Stolen Generations Reparations Unit (otherwise known as the Aboriginal Justice Partnerships and Programs Branch) and will provide high level executive and administrative support to three executives:
- Executive Director, Koori Justice and Stolen Generations Reparations Unit
- Director, Koori Justice Unit (KJU)
- Director, Stolen Generations Reparations Unit
About the role
In addition, active support in the planning, delivery, and reporting on internal and external events with stakeholders to deliver accurate and timely correspondence and briefing.
The Branch Executive Assistant will work collaboratively with colleagues, policy and program/project officers, and senior executive across the branch, group, department, and government to ensure key corporate and public service responsibilities are met to a high standard.
**Some of your duties will include**:
- Coordinate the flow of briefings and correspondence from the Office of the ED and the two Units through to the Office of the Deputy Secretary;
- Coordinate travel and schedule travel, including preparing itineraries and securing accommodation.
- Allocate briefs for action in the Office of the ED and the two Units, monitor and follow up on the completion of responses.
- Manage the timely flow of business reporting, and information requests and responses, provide support to ensure high quality of written materials.

About you
**To be successful in this role, you will have**:
- Demonstrated knowledge and understanding of the Aboriginal community, society and culture and the issues impacting on these.
- Demonstrated ability to communicate sensitively and effectively with the Victorian Aboriginal community.
- Demonstrated experience supporting business processes, including financial and human resources to support effective workgroup operations,
- Demonstrated ability to use the DJCS Electronic Briefing and Correspondence (EBC) System or similar, TRIM document management system and or ability to rapidly learn new software tools.
How to apply
**IMPORTANT INFORMATION**:

At interview stage and prior to commencement of employment with the department, you will need to provide evidence that you are vaccinated against COVID-19 with three doses of a COVID-19 vaccine.
Upon commencement of employment with the department you will be required to provide evidence that you have an up-to-date vaccination status within the timelines specified by the department into the DJCS Service Portal. This includes evidence of three doses of a COVID-19 vaccine required by the department (from time to time).
**Acceptable evidence includes**:
- COVID-19 digital certificate or ATAGI exemption certificate (available via your myGov account)
- Your immunisation history statement (available via your myGov account)
Other documentation outside the above will not be accepted as evidence of having received your COVID-19 vaccine doses.
