**Key Responsibilities**
- **Data entry and reporting** - accurately input customer orders, details, and project data into our systems.
- **Generate and distribute** - regular and ad-hoc performance reports for the management team.
- **Invoicing and financial administration** - prepare and process invoices for various services, ensuring on-time delivery to clients.
- **Verify billing details** - for accuracy and maintain meticulous financial records.
- **Customer job management** - act as the primary contact for customer inquiries, requests, and follow-ups.
- **Coordinate ongoing orders and projects** - to keep tasks on schedule and clients informed.
- **Stock and inventory control** - track inventory levels, update records, and manage reordering requirements.
- **Collaborate with internal teams** - to anticipate supply needs and avoid shortages.
- **Transitions and change requests**(SOW) - coordinate changes in project scope by working closely with internal departments and communicating updates to customers.
- **Document and archive** - all change requests to maintain precise project records.
- **Pricing and quotations** - provide clients with accurate pricing estimates and quotations for services.
- **Partner with finance and senior management** - to maintain competitive, profitable pricing strategies.
**Qualifications & Skills**
- **Administrative Strength** - proven experience in data entry, scheduling, and record-keeping.
- **Technical Proficiency** - skilled in Microsoft Office (especially Excel) and familiarity with CRM/ERP systems.
- **Detail-Oriented** - strong attention to detail, ensuring precision in data and financial tasks.
- **Customer Focus** - excellent communication and interpersonal skills for handling inquiries and resolving issues.
- **Team Player** - comfortable collaborating across various departments to achieve common goals.
- **Adaptability** - capable of managing shifting priorities, new projects, and customer requests proactively.
