Reporting to the ANZ Country Manager, this is an exciting role that is responsible for the smooth running of the Australian office as well as providing support to the New Zealand office team. It is pivotal role in driving the culture of the ANZ Levis business.
Reception
- Maintain a warm and welcoming manner, and be courteous, tactful and professional
- Ensure confidentiality at all times.
- Ensure reception area & wider office is kept tidy and presentable.
- Reception manual to be kept up to date at all times.
Mail/Couriers
- Responsible for booking couriers for all 22 retail stores across Australia & New Zealand. Items include: boxes, bags, heavy furniture and clothing racks.
- Ensure all courier bags being collected from Head Office are ready for pick-up are logged in the appropriate system by 3.30pm each day.
- Arrange timely collection of delivered items by the recipient or their department to avoid congestion in reception.
- Remain up to date with security procedures and relating policies, ie bomb threats etc;
Administration Support Role
- Provide assistance to the Country Manager & HR Manager.
- Ensure a system of receiving reports is maintained for all goods being delivered to and dispatched from the Melbourne Office.
- Provide ad-hoc assistance to other departments during busy periods eg: lead up to Sales Conferences (2 times per year), sell-in & other events or meetings.
- Coordinate internal meetings and organize calendar invites.
- Organise travel & accommodation requirements for group bookings.
- Office & building facilities - key contact for cleaners & office maintenance.
- Process invoices and create Purchase Orders in SAP.
- Manage ANZ Sharepoint pages and employee information.
- Work with HR on Staff milestones and awards.
- Manage expenses for Country Manager through the Concur expense system.
- Assist Country Manager with any ad-hoc projects required.
- Liaise with Executive Assistants and Directors globally and external key contacts on behalf of Country Manager
Kitchen and Stationery Supplies
- Order kitchen and general stationery supplies and maintain working stock levels.
- Maintain supplies of letterhead, business cards and envelopes.
- Manage newspaper & milk/fruit deliveries for the office.
- Ensure the kitchen and meeting rooms are presentable and clean each day
- Organise Melbourne Head Office functions (customer meetings etc).
- Ensure the office is kept neat, organised and tidy.
