**B. STATEMENT OF FUNCTION**
Provide confidential and professional administrative support to several council departments operating in the
Cootamundra Office.
**C. KEY RESPONSIBILITIES**
1. Provide administrative assistance to support all managers operating in the Cootamundra office with a
primary focus on the operations area incorporating Regional Services - Cootamundra.
2. Ensure relevant systems, registers and related databases are maintained and regularly updated.
3. Ensure requests and complaints are responded to professionally and are directed promptly to the
relevant officer.
4. Ensure all administrative tasks assigned are completed accurately and in a professional and timely
manner.
5. Ensure all completed documentation is accurately recorded in Council's Electronic Data Records
Management System.
6. Recommend strategies that contribute to the continuous improvement of Council’s administrative
functions.
7. Preparation of Leases.
9. Deliver quality customer service to both internal and external customers.
10. Participate in and contribute to the work environment across several council departments.
11. Comply with Council’s WHS Policy and procedures.

**D. DUTIES
**Administrative Support
1. Provide executive support and administrative assistance to the Management team within the Regional
Services Cootamundra Office.
2. Assist with the preparation of documents including but not limited to correspondence, reports,
advertisements.
3. Liaise with local newspaper/s and other media to arrange publication of Council information and
notifications relevant to the work area, eg: major road works or closures.
4. Undertake data entry as required.
5. Provide timely and accurate information to the general public in relation to all telephone and counter
enquiries.
6. Complete tasks associated with the purchasing cycle including requisitions, goods receipt and invoice
entry.
7. Direct and co-ordinate internal enquiries to relevant officers for their attention.
8. Order department plant in accordance with the Councils Procurement Policy & Procedures &
Guidelines.
9. Update and maintain council’s electricity and gas Database
10. Record and file incoming and outgoing information on Council’s Electronic Data Management System.
11. Respond as appropriate to customer requests and incoming correspondence.
12. Plan, co-ordinate and organize departmental events, meetings and functions.
13. Assist Manager’s to extract statistical data and information required to complete statutory returns.
14. Carry out any other duties that are within the limits of the employees’ skill, competence and training.
15. Develop understanding of functions of other departments, roles and duties to be able to provide back
- up assistance when required due to operational requirements or to cover periods of leave (e.g Front
Counter Customer Service).
16. Provide support to Council’s management and staff in tendering and contract procedures.
17. Complete ad-hoc procurement related projects as required.
18. Carry out any other duties that are within the limits of the employees’ skill, competence and training.

**E. ESSENTIAL CRITERIA
1. Tertiary qualifications in Business Administration at Certificate III level or above or equivalent.
2. 2 - 4 years’ experience in a similar role.
3. Demonstrated experience in a customer service/executive assistant role ideally gained within a
multitasking environment.

2. Previous Local Government experience.
