Receptionist and Purchasing Assistant

Job Description:
Position Summary
The primary function of this role includes customer service, receptionist duties, distribution of mail, filing and assisting with other administrative duties as required. As well as conduct purchasing tasks according to the defined standards of purchasing department.
**Responsibilities**:
- Comply with all safe work practices & procedures, ensure a thorough understanding of the responsibilities in fire evacuations and other emergency procedures is maintained whilst ensuring correct clothing & PPE is worn at all times. Report all potential safety or ergonomic problems including, accidents or near misses.- Provide general reception duties including: customer service, answering, transferring and taking phone messages, and maintenance of the visitor register.- Ensure all visitors/ contractors sign in and have the correct safety equipment- Responsible for post/mail management. To open and distribute mails and courier deliveries, and to notify recipients. Also to organise courier service where required.- Maintain internal telephone directory.- Organize company and team catering when requested- Collect demand data and liaise with purchasing team to order stationery, uniforms, coffee and milk, business cards etc.- Assist other departments when required with filing, mailing and typing, such as updating Crane manuals.- Place purchase orders based on requisitions from branch offices and for other operational requirements where necessary.- Assist the Purchasing Manager in maintaining relevant supplier relationships, which includes invoicing issue resolutions, delivery schedules, non-conformances in quality of product and/or services.- Assist in consolidation of inventory as required.- Resolve Basware tasks as required.- Undertake the role of Communications Warden following appropriate training.
**Qualifications**:
Education / Training- Previous experience as an administrator or receptionist is preferred.
**Skills**:
- Excellent customer service skills and phone manner;- Highly organised with the ability to prioritise;- Effective time management with attention to detail;- Intermediate level with MS Office software;- Quick to learn and adapt to change;- A positive, enthusiastic and mature work ethic.
