**Position Overview**
The Office Manager is responsible for overseeing daily administrative operations **(across multiple locations; HQ and 10-15 satellite offices)**, ensuring the office**(s)** runs smoothly and efficiently. This role involves coordinating office**(s)** activities, managing administrative staff, handling financial and HR-related tasks, and ensuring compliance with company policies.
**Key Responsibilities Office Administration**
- Oversee and coordinate daily office operations
- Maintain office supplies and inventory, ordering as necessary
- Manage office equipment, IT support, and maintenance needs
- Ensure the office environment is professional and organized
**2. Staff & HR Support**
- Assist in hiring, onboarding, and training new staff
- Maintain employee records, contracts, and HR documentation
- Coordinate staff rosters, leave requests, and timesheets
- Address employee concerns and support workplace culture
**3. Financial & Accounting Support**
- Process invoices, expenses, and petty cash reconciliation
- Assist with payroll preparation and ensure timely payments
- Monitor budgets and control office-related expenses
- Liaise with external accountants, bookkeepers, or auditors
**4. Customer Service & Communication**
- Act as the main point of contact for office-related inquiries
- Support customer service processes and handle escalated concerns
- Coordinate meetings, appointments, and company events
**5. Compliance & Policy Management**
- Ensure workplace policies, safety standards, and legal requirements are met
- Manage business registrations, insurances, and licenses
- Maintain confidentiality of company and employee information
**Required Skills & Qualifications**
- Proven experience in an office management or administrative role
- **Strong organizational and multitasking abilities**:
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office Suite, Google Workspace, or similar tools
- Basic knowledge of bookkeeping and HR practices (e.g., payroll, rosters)
- Ability to problem-solve and work independently
- Understanding of workplace health and safety regulations
**Desirable Qualifications**
- Experience in Admin, Retail and/or Multi site management
- Knowledge of accounting software (e.g., Xero, MYOB)
- HR or business administration qualification
