
Facilities Coordinator

This newly created role within the Property Team for a Facilities Coordinator who will be responsible for assisting in co-ordinating key functions throughout the National Business Portfolio, reporting to the National Facilities Manager you will be working to maximise the efficiency of the Facilities function.
**Duties include, but not limited to**:
- Assist in Co-ordination of general maintenance requests and ensure all work orders are completed within agreed SLA’s
- Professionally and efficiently attend to all inquiries
- Review and administration of all completed works. Closing out works, processing contractor invoices
- Liaise with landlords and key stakeholders around deliverables and recoverable
- Assist with the delivery of asset initiatives for environmental and sustainability targets.
- Building Relationships with onsite contact and contractors
- Administration of contractor compliance with OH&S obligations
- Communicate effectively with a variety of key stakeholders from within the business and beyond
- Have a clear understanding and shared accountability for the delivery of Reactive Maintenance SLAs.
- Provide assistance to colleagues and team members during busy periods or relief during holiday breaks or sick leave
- Hands-on attitude in the completion of required tasks
- Operate with a safety-first mentality
To be successful in this role you’ll know you’re the right person for the role if you have a flexible approach to work, capable of juggling multiple tasks and a varied work load. A genuine interest in building a career in the corporate property space, with exposure to a fast paced multi-site environment would be favourable.
**Other characteristics that will ensure your success, you will ideally possess**:
- Experience in facilities coordination or in a similar role within a property, building/facilities management retail environment.
- Excellent time management, organisational skills and attention to detail especially with high volumes of work
- Ethical with a high level of integrity
- Sound knowledge of Occupational Health & Safety Act, Essential Services regulations
- Strong communication skills, able to work with various stakeholders both internally and externally
- Strong team player who is cooperative and collaborates with others to achieve outstanding results
- Excellent organisational and technical FM skills including the ability to determine priorities and meet deadlines and effectively balance competing demands
- The ability to build effective working relationships with stakeholders and assess, develop and negotiate solutions to facilities issues
- Proven ability to negotiate, problem solve, identify solutions and take action
