**ROLE PURPOSE**
The purpose of this role is to support governance and compliance activities across Ormond College.
In doing so the role supports internal compliance obligations, and external regulatory compliance.
The role requires high levels of attention to detail, and research capabilities.
The Governance and Compliance Officer is an important role with a great deal of variety and
requires someone who is able to thrive on multi-tasking, has a can-do attitude and will take
ownership and responsibility for the role. They will display a customer service mindset, have
fantastic attention to detail, be willing to take ownership of their work and demonstrate the ability
to work collaboratively and collegiately within the College.
**KEY DELIVERABLES**
**RESPONSIBILITIES**
Administration - Deliver administrative support to the Council, its Finance Advisory
Support and Committee, Buildings and Grounds Committee and other
Governance Committees it might form: organise the meetings, prepare the
agenda, collate and distribute the Council and subcommittee papers;
and support to other Committees of the College.
- Undertake the following responsibilities in support of the Company
Secretary:
- Maintain records in good order, including the Governance
records, electronic files and directories and update the College
database records
- In conjunction with the Company Secretary, Chief Operating and
Innovation Officer, ensure that the College complies with its
statutory obligations, ensuring ASIC and ACNC requirements are
met
- Ensure that College and committee policies and procedures are
followed
- Ensure records of Council and Committee meetings are kept in
compliance with the College’s Constitution and Committee
Charters
- Ensure that necessary College registers are established and
updated
- Arrange an annual calendar of meetings each year for Council and
Committees
Policy & procedure - Administrative management of the College’s policy and procedure
framework framework including:
- Monitoring of the framework schedule.
- Setting committee meeting times, and the meeting agenda.
- Attending committee meetings and taking minutes.
- Tracking agreed action items and where required following up
on agreed actions.
- Reviewing new or amended policies and procedures, ensuring
consistency of language and formatting.
- Maintaining the policy and procedure portal on the Grail.
- Dashboard reporting as required.
Risk Register / Risk - Administrative management of the College’s risk register including:
Management - Monitoring the register for key deliverables and where
required following up on agreed actions.
- Support risk management initiatives as required, including
testing of mitigation steps.
OHS Committee - Administrative management of the College’s OHS Committee
including:
- Setting committee meeting times, and the meeting agenda.
- Attending committee meetings and taking minutes.
- Tracking agreed action items.
- OHS reporting - maintain and monitor OHS report to ensure
fulfilment of standards. Further develop and maintain
graphics.
- Update OHS noticeboards.
Other Duties - Provide administrative support as required.
Risk - Work within the College’s Risk Management Policy, including
ensuring that all Recruitment and Outreach activities occur within the
College’s risk management strategy
OHS - Demonstrated awareness of OHS policies and procedures, ensuring
all procedures are followed.

responsibilities at the College.
- Actively report workplace hazards, injuries and accidents arising
from workplace activities, providing recommendations for corrective
actions to prevent or minimize the chance of recurrence.
