**Your role**
The Office of the CFO is responsible for managing Finance and Procurement allocations and workflow, assuring the quality of executive/ministerial briefings and other materials, and ensuring the continuous improvement of business processes for the branch.
The primary purpose of the role is to provide support to the Office of the CFO team in delivering the strategic finance and operational oversight of the Department of Communities and Justice (DCJ). The role will provide an interface between the business operations, the central Finance team and other interested parties and will provide relevant operational advice that enables senior staff to make decisions regarding operations.
The Assistant Project Officer reports to the Manager, Office of the Chief Financial Officer (CFO). The role provides high quality and professional executive, information, secretarial and administrative support.

**What you’ll do**
In this role you will be:
- Triaging and managing allocation of matters ensuring Finance and Procurement workflows (executive, ministerial, and parliamentary allocations and requests) are delivered within agreed timeframes and quality standards.
- Reviewing a range of outgoing correspondence, including briefing notes, letters, reports, and other materials to ensure completeness and accuracy of information and stylistic consistency with Department standards and guidelines.
- Maintaining a tracking and monitoring system to allow proactive follow up of, and reporting on, outstanding actions to determine appropriate actions and ensure delivery within deadlines.
- Exercising judgement and discretion in prioritising and actioning matters.
- Developing, maintaining and managing effective and productive relationships with a range of stakeholders to proactively provide support and advice.
- Collaborating effectively with Finance and Procurement executives and their teams to obtain information, support branch priorities and solve problems.
- Actively participating in the review and maintenance of procedures and processes to deliver continuous improvement projects.
- Managing a diverse range of matters in an environment of conflicting priorities including negotiating timeframes.
- Ensuring recommendations are based on sound evidence, and at times may be required to use own judgment under pressure, or in the absence of complete information, or as a source of expert advice to both internal and external stakeholders.
- Undertaking ad hoc tasks and projects at the direction of the Office of the CFO Manager and/or Director in response to business requirements delivering support activities in line with agreed standards and objectives.
**What we’re looking for**
- Experience in providing executive support and/or allocations and workflow, including the ability to quality assure briefing notes and other written material
- Proficiency in using OneTRIM (records management system) and MiniApp (approval's system)
- Excellent written and verbal communication with the ability to establish credibility and strong relationships with a diverse range of stakeholders
- Operating with a level of autonomy in determining own actions undertaken, within government and legislative policies, and for ensuring quality control in, the implementation of, own workload.
- Sound judgement utilising discretion to problem solve, take initiative and a proven ability to work with a level of autonomy in setting own priorities in alignment with management, and to collaborate and/or escalate matters as required
- A strong commitment to a culture of teamwork, collaboration, customer service, excellence and continuous improvement
- Efficient time management and coordination skills to effectively manage complex and sensitive competing priorities in a fast-paced work environment
- Sound communication skills with the ability to negotiate and influence outcomes
