Collar Group has been retained by one of our National Key Accounts to source an Administrator to join their business.
The purpose of the Administration position is to be responsible for all administrative duties including producing weekly and monthly reports on operations, in addition to accounts payable and receivable.

WHAT THE ROLE ENTAILS:
Reception duties:
- Open mail and manage correspondence in and out
- Answer phones and direct all incoming calls to relevant personnel
- Manage office stationery and petty cash float
- Ensure all filing is up to date
- Assist the Regional Manager by performing administrative tasks as
requested
- Assist with preparation of induction and marketing packs
- Process fuel dockets monthly and send to head office by due date
- Inform local management staff if there are dockets not sent in or
completed properly
Accounts Payable/Receivable duties:
- Ensure all purchase orders have been recorded and enter incoming
delivery dockets and supplier invoices, promptly
- Cost, post and prepare for authorisation all Western Australia creditors
invoices
- Send all authorised invoices to Head Office for approval and payment,
promptly
- On a monthly basis clear out any outstanding purchase orders and delivery
dockets
- Assist WA Engineering staff with customer invoicing and progress claims
- When completed send a copy of debtor’s invoices to accounts and a copy
to the General Manager with supporting documentation
- Assist in preparation and submission of supporting documents for
customer invoices and claims
- Phone customers to facilitate prompt payment of customer invoices
- Process and bank remittances received
- Prepare weekly timesheets within excel for all regional employees, by Friday each week and send to Operations Manager for review
- Ensure all new employees complete relevant paperwork and forward to
Somersby Office
Reporting duties:
- Finance reporting monthly
- Sales invoices
- Fuel Reports
- Spreader Report
- Float Report
WHAT CAN WE EXPECT FROM YOU?
- Diploma in accounting or administration (preferred)
- Good accounts payable experience with payroll experience being desirable
- Data entry into accounting software packages
- Good excel spreadsheet skills
- Time management skills
- Ability work independently and display initiative
- Good verbal and written communication skills
- Good public relations and customer service skills
- Good numeracy skills
- Ability and willingness to work in a team environment
