We are seeking an enthusiastic and proactive Procurement Assistant to work with our Procurement team across a range of procurement activities. Reporting to the Procurement Manager, the primary purpose of the position is to provide administrative and operational assistance to the Procurement Team in delivering high-quality procurement services.
**Primary Job Purpose**
Responsible for managing all inventory control related activities.
1. Execute inventory control measures to ensure the company minimizes materials holding and maximizes material system and paperwork accuracy
2. Provide timely and accurate reports and information on materials & variances
3. Continue to maintain optimum stock levels
**Key Accountabilities**:
**Inventory Control**
- Manage and maintain the company’s materials and product inventory including material profiles and accuracy checks for data
- Provide routine management information on inventory performance
- Monitor and evaluate consumables usage & costs, material utilization and waste
- Write and maintain accurate written procedures for all main material control processes and functions
- Ensure works orders are correct and fully completed and that all material has been allocated to the job correctly
- Ensure integrity and accuracy of the material management system
- Ensure contract registers are kept up to date in the system and key dates are tracked and reported.
- Produce daily reports to ensure key critical areas of the material system are controlled and any discrepancies addressed and resolved
- Manage control measures to ensure mistakes, inaccuracies and discrepancies are highlighted, addressed and resolved
- In charge of Stocktake process - ensure accurate reporting of variance, investigation & analysis in a timely manner
- Identify problems & issues and recommend relevant corrective actions to resolve issues to ensure continuous improvements and following up to completion.
- Improve data processing and cycle time to ensure quality data for the business, develop procedures and reporting systems to support management and Procurement team
- Assist in identifying opportunities within the location for improving the efficiency and effectiveness of its operations
- Become a champion of productivity, efficiency and data measurement to enhance the growth of the business
**Purchasing**
- Research potential vendors
- Creditor Payments
- Comparing and evaluating offers from suppliers
- Negotiate contract terms/agreement and pricing
- Track orders and ensure timely delivery
- Prepare reports on purchases (including cost analysis) and reviews the quality of purchased goods
- Monitor inventory stock and place orders as needed
- Administrative tasks such as preparing, organising and forwarding invoices, collecting and fling delivery dockets, updating internal databases with all order details, filing and organising documents for accounts.
- Responsible for the preparation and process of purchase orders and documents in accordance with company policies and procedures
- Source, select and negotiate for the best purchase package in terms of quality, price, terms, deliveries and services with suppliers
- Purchase and issue orders in accordance with specification
**People and Relationships**
- Work closely with manufacturing team, warehousing & distribution team and finance to ensure reports reflect true manufacturing process and highlight any issues with solution-driven options.
- Establishes and maintains effective working relationships and two-way communication with co-workers and other personnel throughout the company
- Ensures all stores positions are ably staffed and succession is developed
- Responsible for the training and development necessary to maintain a knowledgeable, experienced and productive stores

**Procedural**
- Drive and adhere to all Policies & Procedures located in the IMS, including WHS and Environment
- Drive and ensure compliance of the HEQS Quality Policy and Policies and Procedures located in the Integrated Management System relating to Product Safety and Product Quality
- May act on behalf of Warehouse Manager in relation to Inventory matters in their absence and supports them in planning, directing and coordinating the environmental health, safety, quality and legal compliance as well as people safety programs and initiatives
**Critical Competencies**:
- Possess a relevant qualification and/or suitable background experience in inventory management/purchasing
- An attitude towards continuous improvement plans and implementation
- Have a good understanding of MRP and inventory control/management systems and ERP
- Strong analytical and problem-solving skills
