**Description**
**About the role**:
Stantec are working on some iconic and exciting projects and we are looking to grow our supportive and friendly administration team We are looking for 2 x Administrators (1 x perm full-time & 1 x 12 months maternity leave contract).
The purpose of this role is to assist the Group Leader (GL), Project Technical Leads (PTL), Task Manager (TM) and Project Controllers (PC) in the delivery of projects and the administrative functions associated with these.
Assist the project team to administer projects efficiently, allowing a profitable outcome, QA adherence, project progress, program reporting and risk management. Tailor personal approach to suit the requirements of external Clients, Group Leaders/Project Engineers/PTLs alike.
**Day to day tasks would involve**:
- Assist the PTL/PC to coordinate project teams to allow them to maintain an appropriate level of service to clients.
- Communicate with PTL/GL/TMs/PC to manage service expectations and commitments.
- Complete all work in line with Stantec Core Values and in accordance with the Stantec Quality Systems and Project Quality Procedures.
- Assist the section TMs with managing their conformance to the QA requirements.
- Ensure the layout and formatting of all documentation you issue is consistent with Stantec’s brand and make all necessary effort to minimise spelling and grammatical errors.
- Support the TM/PTL/GT/PC in the continual improvement of Stantec quality procedures and standards and proactive implementation of the same.
- Assist the PTL/TM in the execution of project design and documentation services, including Document Control tasks.
- Arrange internal project team meetings.
- Coordinate responses to project queries by the project team as required.
- Manage requests for information (RFI) for projects you are responsible for as required.
- Manage all incoming and outgoing documentation related to your projects as necessary.
- Assist in diary management for SM/PC/PE as required.
- Enter and manage data within the client relationship management (CRM) system - Pipeline.
- Enter new projects into the Stantec project administration system including all necessary information required.
- Track and monitor submissions and proposals to assist the PE in follow up.
- Facilitate knowledge sharing and proactively engage with other Project/Technical administration staff in your office and in other offices.
- Collaborate with other Project/Technical Administration staff in your team in relation to technical issues, resource sharing and project issues.
- Undertake personal training opportunities to enhance professional development.
- Demonstrate collegiate and collaborative approach at all times.
- Assist the GT/PTL/TM to facilitate celebration of project successes and milestones.
- Promote and contribute to a sense of community, fun and team spirit.
- Regularly interact and engage with other members of the section and office.
- Perform other duties as required.
**To be successful for this role you'll need**:
- Previous office administration experience
- Ideally you will have a background working in the construction or property industry, for an architect, project manager or engineering firm. However, this isn’t necessary and we encourage applicants without this sector experience.
- Proficiency in Microsoft Office Suite - a high level of Word is required
- Excellent written and verbal communication skills
- A positive outlook and strong work ethic as well as an ability to think outside the box are highly regarded.
