**The Role**
The Program Management Adviser will be a key contributor in the Portfolio Office as it embeds Project, Program and Portfolio Management (P3M) in DSTG.

You will use your program management expertise to advise program managers and their teams on the running of programs including the use of management software. Critical to your success will be your ability to create an information hub for programs and shape initiatives at the project and portfolio level.

Under broad direction, you will perform complex activities and be engaging with scientists, engineers and technicians who are at the forefront of cutting edge innovation, science and technology. Informing the future of existing and emerging programs you will make a direct contribution to Defence capability to safeguard Australia’s national interests.

Your key focus areas will include:

- Administer the program reporting rounds, including scheduling the rounds, maintaining instructions and training materials, standards and procedures, and assisting program teams.
- Engage with software development teams to ensure access to tools for program management such as tracking and reporting, information management, risk and issue management and quality control.
- Interpret program information to inform Portfolio Office activities and the evaluation of portfolio and enterprise performance including the management of risks, issues and deliverables.
- Prepare briefs, business cases and reports on program performance, provide input into similar documents at the portfolio level, and meet ad-hoc requests for information.
- Contribute skills, expertise and assessments of program performance to activities being led by other Portfolio Office members such as assisting program teams to develop multi-year rolling plans and informing program assurance activities.

**About our Team**
The Science Strategic Planning & Engagement Division (SSPE) strategically positions DSTG to deliver impact for Defence. The division coordinates and develops external engagements, science policy, strategic research programs, workforce initiatives and investment in DSTG's science and technology capabilities.

Situated within SSPE, the Portfolio Office strengthens relationships with Defence Groups and Services, facilitates the identification of Defence priority problems and aligns investments to enable these problems to be addressed. Current initiatives include the:

- Annual Defence IS&T Investment Process,
- Use of the DSTG management information system,
- Business planning and performance reporting,
- Group-wide risk management,
- Assessment of stakeholder satisfaction.

Building on these initiatives, the Portfolio Office will be expanding its focus including in areas such as governance, risk and issue management, performance assessment and reporting, benefits management, program control and program assurance. This is an exciting time to join the Portfolio Office and shape the future of program management in DSTG.

As a Program Management Adviser, you will be self-directed and adapt well to changes, contributing your expertise and capitalising on the knowledge and skills of others. You will establish clear plans and timeframes for your work and identify opportunities for improvement. Keen to see outcomes achieved, you will monitor progress, supply information, seek feedback and adjust plans as required.

Securing stakeholder engagement, your communication skills will enable you to clearly present messages, select the appropriate medium, and anticipate audience needs. This will be evident in your verbal and written interactions, including in meetings and training sessions, preparation of online materials, procedural guides and formal briefs.

You will be comfortable engaging with others in virtual environments using varying platforms. With stakeholders in domestic and international locations, you will be adept at working with others online and helping them to use systems efficiently and adhere to standards and processes.
