**The Opportunity**
We are currently seeking a highly organised and proactive Operations Assistant to join our growing team. In this diverse and fast-paced role, you will support both field operations and senior leadership by coordinating crew resourcing, rostering, travel logistics, and providing high-level administrative assistance. This is a fantastic opportunity for someone with a strong attention to detail, a collaborative spirit, and a passion for operational efficiency.
**Key Responsibilities**
- Prepare internal reports, presentations, and other documentation as required by senior leadership
- Manage executive diaries, prioritise meetings, and maintain communication records
- Coordinate travel arrangements in line with company policy (flights, accommodation, car hire)
- Organise travel permits where required (e.g. G2G passes)
- Perform credit card reconciliations and assist with expense tracking
- Place food and supplies orders for operational needs
- Monitor crew compliance documentation (e.g. police clearances, licenses, emergency contacts)
- Run reports from the HR database and follow up on expiring compliance items
- Conduct driver’s licence and status checks via the Department of Transport
- Book commercial flights and accommodation for crew and HSE Advisors
- Schedule pre-employment medicals and raise purchase orders as required
- Manage and prioritise the shared Operations inbox efficiently
- Provide leave coverage for Operations Coordinators during periods of absence
- Liaise with the HSE Manager and Ops Coordinators on HSE Field Advisor travel and site compliance requirements
- Coordinate Drug & Alcohol testing and medical bookings for HSE Field Advisors
- Maintain confidentiality while handling sensitive operational and personnel matters
**Requirements**:
- Always presents as “Fit for Work” and punctual.
- Strong adherence to DDH1 policies and safety standards.
- Proficient in Microsoft Office, particularly Excel and Outlook.
- Exceptional organisational and communication skills.
- Ability to work collaboratively in a team and independently when required.
- Flexibility to work after hours and manage competing priorities with discretion.
