**Company Overview**:Sure Space is a small, dynamic residential building company dedicated to providing exceptional service and a seamless experience for our clients. We are looking for an enthusiastic and organised **Office Manager** to join our team and support the smooth running of the backbone of the business.
**Role Overview**:As the Office Manager at Sure Space, you will be the first point of contact for our clients, manage key business information, execute sales systems, and optimise our software tools. Your role will ensure that we deliver a great experience to our clients and streamline our internal processes for maximum efficiency.
**Key Responsibilities**:
- **Gatekeeper**: Be the first point of contact for all inquiries and communication.
- **Sales System Management**: Execute sales processes, follow up with leads, and manage cold and warm leads.
- **Software Optimisation**: Ensure the team is using software efficiently (e.g., Xero, Dext Buildxact, Google Calendar).
- **Documentation & Process Improvement**: Develop, document, and implement processes that improve efficiency and business operations.
- **Task Management**: Prioritise tasks effectively, ensuring that all actions are completed on time and business systems are repeatable.
- **Job Tracking & Quoting**: Organise job folders, track job progress, and assist with quoting and invoicing tasks in line with business procedures.
- **Marketing Support**: Assist in writing content and support marketing initiatives for the company.
- **Bookkeeping**: Assist with bookkeeping duties, reconcile invoices, and manage accounts-related tasks as required.
**Key Skills & Requirements**:
- **Proactive & Organised**: Able to prioritise tasks and manage deadlines efficiently.
- **Computer Proficiency**: Skilled in using MS Word, Excel, Google Calendar, Xero, and Buildxact (or willing to learn).
- **Experience**: Proven office administration experience, ideally within a construction or building company.
- **Communication**: Strong written and verbal communication skills.
- **Independent & Professional**: Able to work autonomously, prioritise tasks, and manage time effectively.
- **Attention to Detail**: Ensure that all files and documents are organised, up-to-date, and easy to find.
**How Success is Measured**:
- Tasks are completed on time and in order of priority.
- Business systems are documented, repeatable, and optimised.
- Clear and effective communication is maintained with both clients and internal teams.
- Information is easily accessible and organised.
**Additional attributes**:
- Experience in small business operations or building company processes will be highly regarded.
- A positive, ‘can-do’ attitude and ability to support the team with a proactive approach.
