About the Business Unit
The Victorian Institute of Forensic Medicine (VIFM) is an independent statutory authority governed by the Victorian Institute of Forensic Medicine Act 1985 (the VIFM Act). It is part of the Justice portfolio of the Victorian Government. The work of the VIFM can be described as a cycle of three parts:
- Providing forensic medical and scientific services and tissue banking
- Learning from this work
- Researching and teaching.
The VIFM Act creates a joint position of Director of the VIFM and Professor of the Department of Forensic Medicine (DFM) at Monash University. The Director/Professor is responsible for the strategic direction and activities of the DFM, which is housed at the VIFM and operates under the governance of the Monash University Faculty of Medicine, Nursing and Health Sciences.
VIFM is based at the Coronial Services Centre which also houses the Coroners Court of Victoria. This position is within the Forensic Services Division.
About the Role
The Client Service Team is responsible for direct service delivery to meet the needs of all Forensic Services departments. Internal clients' needs are met by the team and when required other VIFM Divisions (Corporate Services & Development, and Academic Programs) and the VIFM Executive. The team is responsible for informed and timely communication with external clients and the external workforce. The Client Services Officer is responsible for working collaboratively across the team to provide an integrated client service and single point of contact for key clients and the VIFM external workforce. This includes general administrative services, meetings support, workforce roster coordination and communication.
**Some of your duties may include**:
- Provide high-level administrative support to Forensic Services.
- Respond to and triage incoming telephone calls and act as the first contact point for stakeholders/clients internally and externally.
- Coordinate the reception relief roster for VIFM reception and CFM operations. Provide relief reception duties as required.
- Perform case related data management, including the collation of information from clients and creating case datasets for Forensic Services.
About You
- Demonstrated experience in the provision of administrative support, preferably in a scientific, medical or health related environment.
- Well-developed written and verbal communication skills including the ability to provide accurate and detailed work, ensuing that written communication adheres to communication guidelines and protocols.
- Well-developed interpersonal skills and strong service focus and the ability to establish and maintain relationships with a range of stakeholders.
- Strong organisational skills and the ability to multi-task and handle multiple demands in a fastpaced, deadline driven environment.
- Ability to be flexible, adaptable and resilient in approach to all work situations, and remain calm under pressure.
- Demonstrated ability to be discreet and sympathetic in relation to sensitive matters and maintain impartiality, objectivity and professionalism.
- Ability to work collaboratively in a team environment to deliver service, and proactively identify opportunities and take responsibility for initiating outcomes.
