**1. Purpose and Role**

The ITAS will be responsible for managing and maintaining all software and hardware assets to ensure all changes are accurately updated in the asset register(s) to effectively manage the entire asset lifecycle process. From acquisition, deployment, utilisation, tracking, security and disposal of all IT software and hardware assets.

The ITAS is required to own, develop and manage key stakeholder relationships with Vendors. The role also requires appropriate actions to be taken to ensure best business practices and SLA’s are being met at all times.

This role is required to be a point of escalation for all IT asset issues for all owned lifecycle processes and vendor relationships.

The ITAS may also be called upon, at times to provide support for Healthscope staff who utilise Healthscope IT equipment and systems.

Additionally, The IT Asset Specialist with be responsible in the coordination of all the pre-work required before and change is submitted to the Change Approval Board that meeting on a weekly basis

**3. Scope of the Position**

The IT Asset Specialist is responsible for the ongoing development and governance of IT Asset Management at Healthscope at all locations. IT assets include hardware, software and telecommunication services.

This position takes ultimate accountability to ensure that Healthscope’s IT hardware is refreshed, deployed, disposed of and managed to agreed timeframes.

The role will also ensure that software assets are managed and maintained within a software register

This role is accountable for asset changes to ensure they are accurately updated and recorded in the asset register.

The role also manages all facets of telecommunication services including the procurement, deployment and cancellation of services as required.

The role will be required to engage with vendor partners to build and maintain a superior customer engagement model.

In addition, also assist the Manager Service management prepare for the weekly Change Approval Board meeting ensuring all the requirement required for change submission is met by the change owner.

**4. Position tasks and **accountabilities**
- Deliver, manage and own the lifecycle of all Healthscope’s IT end user computing assets including, but not limited to, desktops, laptops, monitors, printers, scanners, mobile devices, AV equipment, etc., This includes but is not limited to refresh activities, BAU, site open/closure and project requests.
- All stages of the IT asset lifecycle to be documented and maintained for audit purposes
- Manage all hardware refreshes in a timely manner that meet lease end dates to avoid penalty fees or duplicate charges to sites
- End-to-end responsibility for the CMDB and/or asset registers. Proactively manage and maintain all records within these databases to ensure all relevant details (including, but not limited to, owner, location, model, Vendor etc.,) are updated.
- Registers need to maintain 98% accuracy at all times
- Annual audit of all assets to ensure registers are accurately maintained.
- Ordering of IT equipment and software within Healthscope’s agreed standards, to agreed timeframes and delivered on time to staff
- Manage all end user computing asset and telecommunication requests from the business and IT
- Manage all requests submitted to vendors to ensure SLAs are met and end user customer satisfaction levels are maintained
- Create, maintain and develop assigned vendor relationships and ensure delivery of services to the agreed SLAs and escalate issues where appropriate in a timely manner at all times.
- Ensure all asset management processes are effectively mapped/documented for clarity, ownership, responsibility and accountability and reviewed yearly.
- Identify and provide to the Manager Service Management continuous improvement opportunities to deliver services to Healthscope staff in more effective and efficient ways
- Log all incidents and requests into Cherwell (ITSM tool) ensuring its timeliness, accuracy, relevancy, escalation and status at all times
- Develop and maintain Asset Management policies
- Support the Head of Service Delivery to improve processes, increase efficiencies and deliver highly engaging positive customer outcomes
- Identify cost savings and control expenses on a consistent basis
- Ensuring the efficient use, re-use and disposal of IT assets to eliminate waste and avoid unnecessary IT asset purchase
- Ensure documented asset management processes are being adhered to by staff at all time and manage breaches accordingly. Escalate to the Manager Service Management where appropriate
- Be vigilant with negotiations when requesting quotes for assets or services
