Order Operations/warehouse Executive

Overview:
Waters has an exciting and challenging opportunity available for an **Order Operations/Warehouse Executive** to support Australia Field Operations. This position's primary responsibility is to manage order operations and warehouse activities for order to cash processes. Based in Sydney, Australia and will report to Order Operations Team Lead.

**Responsibilities**:
Order operations:

- Process orders in full cycle from order entry to invoicing accurately with accordance to Waters guidelines and policies
- Liaise with relevant internal and external parties to manage and resolve all issues relating to order fulfilment and as directed by team leader/manager
- To ensure all necessary documentation is in place to enable transit from origin to destination without delays and in accordance with customer need and foreign trade regulations
- Supply chain management and demand planning: SAP Ordering Process and close collaboration with Global & Regional Operations team to ensure efficient operation between distribution center and customers
- Close monitoring of backlogs to expedite on time deliveries with no past dues
- Import and Export. Insightful understanding of Customs regulation and provide solutions to business and customers to manage and mitigate risks
- Liaise with freight forwarders to coordinate shipment and on time delivery
- Inventory and warehouse daily activities
- Provide post-sales support such as physical return, replacement, and others
- Participate in process improvement activities to streamline work process
- Perform back-up / standby duties as needed to ensure smooth daily Order Operations to support business growth

Warehouse operations:

- Lead and ensure daily warehouse activities as performed in an accurate and timely manner.
Pick and pack products and planned for deliveries.
- Responsible for the physical accountability of inventory, data integrity, timely update in system and KPI reporting such as receiving, store and issue goods and manage stock’s accuracy
- Report and do adjustment for any damaged/spoilt/shortage of stocks with approval from Finance Manager
- Conduct stock count twice yearly and reconciliation of physical stock if any discrepancy with approval from Finance Manager
- To review and return any excess/obsolete stock together with Finance and Service Manager every quarterly
- To review any short expiry/expired stocks or slow-moving stock from scrap with approval
- Arrange scrapping of parts/obsolete instruments or chemicals returned from FSE with external disposal company to ensure compliance with Waters’s policy.
- Maintain a safe working environment, ensuring adherence to company and legislative requirement including operational procedures, safety, health, security and quality policies.
- Conduct periodic Risk Assessment to identify potential safety hazards and undertake corrective and preventive measure to eliminate or minimize the risk.
- Manage all warehouse related internal, external audits

Inbound/Outbound shipments:

- Pre-alert appointed forwarder on arrival shipment with shipping documents, to arrange tax payment with Finance if necessary.
- This includes sending out the products and forward shipping docs and inform to internal team.
- Liaise with internal team on local supply items arrival, re-packing for local supply items if necessary.
- Check and file all shipments documents for Finance to make payment to forwarder.

Order/Replenishement Proess:

- Daily convert & issue PO to Distribution center on the Purchaes request
- Raise urgent PO & shipment when necessary and follow up closely with ‘Distribution center’ on parts’ ETA.
- Raise manual PO for local supply parts and coordinate with vendor on delivery arrangement.

Others:

- Support the team and perform cross functional activities when necessary.
- Perform back-up / standby duties as needed to ensure smooth daily Warehouse and Order Operations to support business growth.
- Any ad-hoc duties as assigned

Qualifications:
Key Requirements:

- Min 5 years warehouse working experience
- Proficient in office software and experienced SAP
- Strong sense of responsibility, ability to handle multiple priorities and execution
