**_About the role_**
The Waiting List Coordinator facilitates efficient management of the Calvary Mater Newcastle Waiting List in accordance with NSW Ministry of Health Waiting Time and Elective Patient Management Policy, and coordinates the work between the booking officer positions and liaison with clinical management and department staff.
Attention to detail and proactive approaches to processing of work tasks is required to ensure tight timeframes for work processing as well as patient and organisational priorities can be met. The role requires flexibility and solid operational input in to all key aspects of the booking office functions.
The role requires excellent verbal and written communication skills, and the ability to liaise with people at all level of the organisation professionally, and also routinely with patients and other external parties as appropriate. The position is undertaken under the guidance of the Patient Services Department Manager.
The NSW MOH Waitlist policy must be strictly adhered to in order to provide patients with appropriate access to care and timely provision of information regarding hospital admission. Audits are routinely undertaken.
Key Responsibilities
- Liaise with the Pre-Procedure Clinic (PPC) to ensure all RFAs are assessed to determine need for Clinic appointments.
- Phone patients to coordinate Pre-Admission Clinic outpatient appointments and enter in iPM; or to provide information on admission date/time/process and activating SMS reminders daily.
- File and retrieve RFAs for PPC and Theatre lists.
- Provide relief on Information Desk for breaks, or when other staff are unavailable.
- Work in accordance with the Information Desk work instructions and hospital policies.

- Medical Terminology skills.
- Demonstrated ability to exercise discretion and confidentiality at all times.

- The Calvary Mater Newcastle is an Affiliated Health Organisation providing services to both public and private patients primarily from the Hunter New England area. Current employees of NSW Health can request to have various leave entitlement balances transferred to Calvary Mater Newcastle on commencement.
