_Position Description - _**Administration Officer**_

List of Tasks - Immediate takeover responsibilities
- Receiving and processing incoming and outgoing calls
- Converting of leads into bookings in SM8
- Allocation of appointments for technicians in SM8
- Managing the technicians schedules
- Communicating with Customers and Business's professionally
- Proofing of Invoicing and quotes
- Motivation of Staff
- Daily reporting to management

Office Staff start of day:
Vouch rosters for the day firstly with Management and thereafter deal with Technicians to run through their day with them to insure all will run smoothly, as in stock required, locations are correct, billing details are correct. Vouch what cash and receipts from the technicians day before they hold and make notes where appropriate if they have not put it in the till.

Once the tech's have are off to their day’s roster, get the stock sheet (they should slack all details of stock taken and update the spreadsheet with all stock taken information

- calls will be entered in the phone calls tracker spreadsheet as they are processed;

A classification, description and treatment of the different kind of clients will be part of the induction on the first days of the job. It will take between 1 to 2 months to adjust and acknowledge them all. The conversion of a lead into a booking requires that and also an understanding of all the services we provide, which is the best technician to allocate the job, the location of the job and who is actually closer on that date and time based on the roster.

Follow your To Do List (coordinated with manager via tasks app) and insure all is completed before retiring for the day.

List of Tasks - Future assignments upon 1-2 months experience

1. Updating of social sites (ie. FB)
2. Monthly and Weekly Reporting of the business
3. Stock control and ordering
4. Payments follow up
5. Aged Receivables processing
6. Preparation of hours for wages
7. Team meetings coordination (conference calls/online)
8. Other tasks administrative in nature

Will allow for office apps installation including Time Doctor for remote supervision.

**Job Types**: Full-time, Part-time

Pay: $27.00 - $29.00 per hour

Expected hours: 15 - 20 per week
