Our client is seeking for two **Project Coordinators** to join the Major Capability Division.

**About the Team**:
Major Capability Division (The Division) is responsible for the design, planning and delivery of new major capabilities, and the coordination and sustainment of existing major capabilities, which enable effective delivery of the Department's strategic objectives and mission.

The Major Sourcing and Acquisitions Branch (the Branch) provides the Department with specialist services to deliver major ICT sourcing programs into business-as-usual (BAU) operations, by creating and maintaining an ICT transition framework that delivers:

- Market approaches for bespoke, high value technology acquisitions;
- Transition management services for seamless implementation with mínimal disruption to stakeholders; and
- Overall quality program governance to ensure transparency and successful delivery of all Major ICT sourcing programs to a BAU function

**Responsibilities**:
The Project Coordinator works under guidance from the Transition Hub leads to deliver efficient project services for the Department and contribute to the Section, Branch and Division's reporting requirements. Working within the project management and related frameworks, the Project Coordinator will coordinate and contribute to project schedules, project budget management, project related issues - risks and resolution planning to ensure the smooth delivery of planned activities.

The Project Coordinator establishes and maintains effective professional relationships with Internal and external stakeholders and works closely with technical leads to scope technical deliverables through project planning sessions. They must be highly organised and able to anticipate and escalate any conflicts to schedule, scope or budget during project delivery.

Project Monitoring & Reporting
- Provide proactive monitoring of agreed project deliverables.
- Maintain project artefacts like RACI, Risks and Issues registers.
- Create, update and maintain agreed project governance artefacts.
- Assist with - Project deliverable milestone reporting in Department systems.
- Proactively provide a summary of planned activities for the week including risks and issues.

Project support and deliverable milestone scheduling.
- Track the development of technical and business artefacts being delivered.
- Ensure the project work plans are up to date.
- Ensure the project work plans accurately reflects work being undertaken by staff.
- Contribute to project budget planning.
- Assess deliverables and work with delivery teams to provide estimate of effort.
- Track the progress of work packages and escalate as required.
- Coordinate the preparation of work packages with delivery teams.
- Ensure meetings are scheduled with an agenda.
- Ensure meeting minutes are taken, updated and actions items are tracked.
- Ensure Technical staff and key stakeholders attend planned meetings.

**Skills and Experience**
- 3+ years' experience in major ICT or other project/program management
- Working knowledge of technology project delivery in an environment the size and scale of the Department
- Proven expertise in successfully supporting complex ICT programs
