The successful Administrator will be part of the Specialist Administrative Support (SAS) unit which is a centralised Faculty team responsible for specific tasks such as the termplanning and contract issuing for sessional academics across seven schools and two centres. The role requires a high level of attention to detail, an appreciation of data (no fear of excel sheets) and excellent effective written and verbal communications skills. Your stakeholders include Heads of Schools, Directors of Teaching, sessional academics, the timetabling unit and Student Services amongst others. The Specialist Administrative Support (SAS) Team is currently a team of seven responsible for the delivery of critical and compliance heavy operations across the Business School ensuring 3+ terms run smoothly.

This position has no direct reports and will work closely with the Manager of the SAS unit, Shreya Baral.

**Accountabilities**:

- Act as the first point of contact for internal and external stakeholders, maintaining effective channels of communication, analysing requests, and correspondence, prioritising effectively, and handling sensitive matters appropriately.
- Ensure all administrative processes and tasks are compliant with UNSW Enterprise Agreement and University guidelines whilst contributing to the development and implementation of Faculty-wide policy, procedures, systems, and alert on significant issues.
- Coordinate with Schools and relevant central teams on term planning, timetabling, academic workload planning, room allocations and other Faculty-wide specialist administrative tasks.
- Deliver accurate and timely execution of tasks related to sessional academic administration processes from contracting to payment.
- Coordinate the timely, accurate and consistent maintenance of CTP (Casual Teacher Payment) entries and reports, ensuring compliance across the Faculty and aligned with approved plans.
- Under the direction of the SAS Manager and Administration Officer, support the design and implementation of any new administrative processes or system improvement initiatives.
- Provide effective specialist advice relating to administrative guidelines, processes and activities.
- Provision of consistent and high-quality administrative support to the SAS Manager, including advice on University and Faculty policies and procedures.
- Participate in relevant projects and business improvement activities to streamline processes and facilitate administrative efficiency as directed by SAS Manager.

**About you**:
To be considered you will hold Australian Working Rights or Australian Citizenship. Visa sponsorship is not available for this appointment.
- Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience.
- Advanced time management, organisational and problem-solving skills, including the ability to meet deadlines.
- Demonstrated ability to apply, interpret and advise on policies, procedures or systems, across varying tasks with high levels of compliance required.
- Demonstrated experience providing effective customer service and support to clients at all levels.
- Demonstrated commitment to continuous improvement and innovation in an administrative environment, with an ability to investigate operational issues and suggest improvements to procedures for increased efficiency.
- Experience with coordinating and managing administrative and teaching workloads for Academic staff.
- Outstanding interpersonal, written, and verbal communication skills, with proven ability to establish effective working relationships with a wide range of senior internal and external stakeholders.
