SKUTOPIA is a cloud-based Software as a Service (SaaS) & Robotics as a Service (RaaS) solution provider allowing eCommerce businesses to manage orders across multiple storefronts, as well as inventory, shipping and warehousing all in one platform. We provide highly robotised 3PL services, utilising our proprietary software and AI technology for fast delivery, quality control and accuracy.

**About The Role**

**In this role you will**:

- Facilitate Communication: Act as a liaison between our MD and internal/external stakeholders, ensuring efficient and timely communication.
- Organise and Coordinate: Plan and coordinate meetings, events, and travel arrangements, ensuring all logistics are handled seamlessly.
- Data Management: Assist in organising and maintaining important documents and data, making them easily accessible when needed.
- Office Management duties such as ensuring supplies are stocked up, the office is generally tidy/clean and working on improvements for the employee experience. Liaising with our facilities management on fixes and projects.
- Event management and support on company socials; such as the mid & end of year parties.
- Drafting internal founder communications such as company internal comms, celebrations etc.
- Helping to facilitate company meeting and LT meetings, recording minutes and ensuring effect follow-up on action items.
- Conduct research on industry events, updates and key individuals, in an aim to support the MD's stakeholder relationships and personal brand.
- Some personal administration such as booking personal appointments, ensuring time in calendar to attend family events etc.

**On a day-to-day basis, you can expect to**:

- Schedule and manage appointments, meetings, and conference calls.
- Social media and LinkedIn management.
- Coordinate travel arrangements, accommodations, and itineraries for all employees (currently a low level of company travel).
- Some general office management duties such as ordering supplies and a daily office check.
- Maintain organised files and records.
- Support with some personal life tasks, such as pulling together documents, making bookings etc.
- Act as a point of contact for internal and external queries.
- Provide support to HR & Community at internal staff events.
- Assist with ad-hoc tasks and projects as they arise.

**We think you will need**:

- Previous experience in a personal or executive assistant role, particularly relevant if in a startup environment.
- Passion for being an PA/EA and growing a career in this role.
- High level of emotional Intelligence - Warm, friendly and approachable to a wide variety of stakeholders. Protect the MD's time but be human about doing so. Represent the MD's values and care for their team.
- Enjoy being in the office every day, taking pride of the office, getting to know everyone in the business and being proactive about improving the employee experience.
- Exceptional organisational and multitasking skills to manage multiple responsibilities effectively.
- A high level of discretion, loyalty, confidentiality, and the ability to handle sensitive information.
